Job Description
Drew Pelton Investment Services is seeking a Client Service Representative/Appointment Setter to join our team! You will be responsible for building and maintaining client’s confidence and loyalty by providing regular contact and outstanding service.
RESPONSIBILITIES WILL INCLUDE:
- Maintain spreadsheet of courtesy calls
- Track and Maintain Retirement Income Store and Income leads
- Make annual calls to clients regarding strategy changes on their annuities, as directed by your advisor
- Greet clients in person, using their name when they visit the office
- Schedule client reviews with your advisor according to schedule requested by the client or the advisor
- Prepare client files for meetings with advisor
- Schedule referral meetings for your advisor
- Manage waiting time if advisor is running late, acknowledge delay, and keep them occupied
- Answer all incoming communications such as telephones, emails, faxes and letter
- Direct callers to appropriate person as efficiently as possible
- Screen callers as needed
- Set appointments on as needed basis, plan internal meetings, arrange travel
- Create, store and send correspondence by preparing presentations, reports, letters and other materials needed by internal staff and clients
- Coordinate advisor’s schedule with the appointment setter and be sure that calendar and client database are updated
- Handle incoming client requests, referring to advisor as necessary
- Process and follow up on client’s service requests
- Record all contact history, changes in personal information, etc. into database
- Schedule and maintain appointments with the prospects
- FOLLOW-UP PROCESS THE DAY AFTER THE SEMINAR
- Enter all scheduled appointments into the advisor’s schedule/database
- Prepare prospect’s folders for their meeting with your advisor
- Send a confirmation letter to everyone who scheduled a meeting
- Make confirmation calls to prospects who set appointments
- Make calls to prospects who did not set appointments
- Track your results with date, time, and details of who you reached
- Process trades on brokerage accounts, as directed by advisor
- Provide financial reviews/summaries for larger clients as necessary
- Run illustrations for clients
- Research investments as needed
- Provide backup support for the new business department
- Perform client surveys as needed
- Handle customer inquiries and complaints
- Provide information about the products and services
- Troubleshoot and resolve product issues and concerns
- Document and update customer records based on interactions
- Develop and maintain a knowledge base of the evolving products and services
QUALIFICATIONS:
- Previous experience in customer service, sales, or other related fields
- Ability to build rapport with clients
- Ability to prioritize and multitask
- Positive and professional demeanor
- Excellent written and verbal communication skills
