    Our Office Manager provides the administrative support for the firm and serves as the focal point for communication as the vital connection between our staff, leadership team, vendors, etc. Offering a collaborate friendly culture, we are seeking a talented candidate who will thrive in a professional services firm providing high level office management and firm administrative oversight.

    WHAT WILL I DO?

    • Manage daily office functionality and general communication flow
    • Report office progress to management and work with them to improve office operations and procedures
    • Answer telephone calls and emails from clients and direct to relevant staff; admin responsibilities for RingCentral communications platform
    • Maintain portal service for clients and manage notifications to Team
    • Process monthly client billing/statements
    • Process tax packages and financial statements, package reports
    • Monitor and manage 8879’s for tax practice
    • Send and manage Tax Organizers in 4th quarter
    • Monitor all office supply inventories and order as required (i.e. print cartridges, kitchen supplies, etc.)
    • Manage vendor relationships (supplies, mail, UPS, etc.)
    • Exemplify professionalism and embrace a “roll up your sleeves’ attitude
    • Create and maintain an office environment that is clean and safe
    • Manage support staff – tax processor
    • Notarize client documents
    • Report Team PTO monthly
    • Assist in onboarding new team members; print necessary documents, train on RC system

    QUALIFICATIONS AND SKILLS:

    • Strong written and verbal communication skills to produce reports, assign tasks, and handle vendor contracts, etc.
    • Minimum 2-3 years of demonstrated experience as an office clerk, administrative assistant, secretary or similar role in a professional environment
    • Bookkeeping skills
    • Notary certification
    • Hands on experience with office machines (e.g., copiers, fax machines, printers)
    • Deep knowledge of MS Office Suite
    • Excellent time management skills and the ability to independently prioritize work
    • Organization skills with the ability to multitask to complete a wide variety of tasks
    • Strong interpersonal skills to interact positively with all team members
