    POSITION SUMMARY:

    The Mentorship Program Coordinator supports the Earn to Learn (ETL) mission in the administration and execution of ETL’s mentorship programs. The Earn to Learn mentorship programs are designed to provide first-generation, low-income students with ongoing guidance, skill development and networking opportunities. 

    This individual will administer the recruitment and implementation of new mentorship programs for students and grow existing mentorship program partnerships within the Arizona and national community. The position works directly with corporate and community partners to develop relevant mentorship opportunities for Earn to Learn scholarship program participants and provides ongoing communication with the Earn to Learn Student Services team. This position will support new programs to increase opportunities for workplace experiences and any future expansion of the Workforce Development team.   

    ESSENTIAL FUNCTIONS:

    MENTOR AND MENTEE RECRUITMENT & SUPPORT 

    • Utilize sound human resource practices and principles to recruit, advise and retain Mentors 
    • Collaborate with Student Services team to recruit, advise and retain Mentees 
    • Coordinate logistics for the recruitment process by maintaining the web page, actively sharing Mentor opportunities with the community, storing documents, scheduling orientations and ensuring partners’ volunteering needs are met 
    • Create, process and accept Mentor applications 
    • Facilitate the onboarding of Mentors within ETL guidelines 
    • Match mentors and mentees to facilitate mutually beneficial partnerships 
    • Provide direct support and guidance to Mentors and Mentees through frequent email and phone communications 
    • Conduct mid-term and end-of-term feedback surveys to track success and identify opportunities for improvement  Handle sensitive information in a confidential manner

    PROGRAM GUIDANCE 

    • Assist in the overall planning, execution and evaluation of orientations, email directives, mixers and other opportunities for mentorship program participants 
    • Manage the programming and communications calendar for mentoring pairs and ensure that documentation is submitted in a timely manner 
    • Identify best practices for mentorship programs using research, articles and reports, industry collaboration, conferences, webinars, online trainings and other professional development  
    • Communicate with mentoring pairs to ensure that topics and directives are updated as needed

     

    CAPACITY BUILDING 

    • Assist in developing Standard Operating Procedures (SOPs) to support the scalable expansion of workforce development initiatives 
    • Assist in developing program marketing materials including brochures and other methods to advertise mentorship program services to stakeholders and students 
    • Maintain and standardize electronic filing systems 
    • Provide documentation of meetings and compile data for internal and external use

     

    OTHER DUTIES AND RESPONSIBILITIES:

    • Assist in identifying and developing new working relationships with employers, educators and other stakeholders 
    • Contribute to marketing and development efforts with mentorship program updates and stories 
    • Create documentation for sharing program practices with the ETL Team 
    • Consistently handle all sensitive information in a confidential manner 
    • Attend staff workshops, webinars and other community provided trainings 
    • Other duties and responsibilities as assigned

     

    MINIMUM QUALIFICATIONS: (Required unless stated as “preferred”, “a plus” or “desired”)

    EDUCATION/FORMAL TRAINING/CERTIFICATIONS:

    • Associate degree or certification from an accredited post-secondary institution in related field (such as Human Resources, Business, or Communications) strongly preferred; Bachelor degree a plus

    __EXPERIENCE:

    • At least 2+ years' experience in project coordination;3+ years’ preferred (at least 6+ years’ in lieu of education)
    • At least 2+ years' experience with Microsoft Office 365 applications;3+ years’ preferred 
    • At least 2+ years’ experience with electronic filing and database systems;3+ years’ preferred
    • Experience developing and maintaining external/community relationships/partnerships strongly preferred

    __KNOWLEDGE, SKILLS, AND ABILITIES:

    • Comfortable in a “virtual office” environment using virtual systems to communicate with a geographically dispersed team 
    • Familiarity with and a desire to increase competency with online software and platforms and eager to adapt to new technologies 
    • Comfortable working in a fast-paced and evolving marketplace that requires flexibility and adaptability 
    • Exudes a positive outlook and is willing to accept challenges and changes 
    • Continuously solicits feedback for improvement and goal achievement 
    • Competency with Outlook, collaborative chat, conferencing environments (Microsoft Teams), cloud-based document storage platforms (OneDrive/SharePoint) and Office 365 Suite 
    • Excellent communication skills (non-verbal, verbal, written & listening) 
    • Fast learner with the ability to troubleshoot problems 
    • Exemplary time and task management skills 
    • Highly disciplined and organized 
    • Ability to handle sensitive and confidential information with discretion 
    • A self-starter who seeks and seizes opportunity  
    • Very strong attention to detail and follow-up skills

    REMOTE WORK REQUIREMENTS

    Earn to Learn is a fully remote organization. The following are required for remote home office work: 

    • Dedicated private, quiet, professional appearing home office space for hosting webinars and conducting virtual video meetings
    • Reliable, password protected, high-speed home internet (at least 10 Mbps for a single user)

    TRAVEL AND AVAILABILITY

    Weekly schedules may vary and are dependent on organizational priorities, projects, community events, etc. Evening and weekend work may be required rarely. Occasional travel to/within the state of Arizona will be required rarely.
