We are seeking a talented Event Producer to join their award-winning boutique experiential marketing and event production agency.

Summary:

The Event Producer will oversee individual projects and manage client relationships on production related issues. Project management and oversight are central to this position. As an Event Producer, they expect you to be organized, self­ motivated, and be able to approach unique problems in new ways. The ability to work as part of a team, as well as lead a team, is critical for this position.

JOB DESCRIPTION:

• Work with clients to determine event details and guide expectations to ensure a successful event

• Manage and maintain client relationships on production related issues, as well as managing client needs and expectations

• Builds thorough understanding of client’s business

• Develops working knowledge of agency’s capabilities

• Directly responsible for management of components of events within account base. This includes event activities, event staff management, reporting, and post-­event activities

• Solicits and provides all relevant job information to team members in a timely manner

• Participates in concept development and idea generation meetings of current programs and new marketing programs

• Conducts site inspections, client and vendor walkthroughs

• Develop budgets and keep organized, in addition to tracking all costs associated with events

• Source venues and vendors and negotiating contracts with venues and vendors

• Solicit multiple bids when necessary

• Negotiates event specifics with vendors and event organizers 

• Utilizes agency resources and tools appropriately and efficiently in conveying all necessary information (i.e. Terms and Conditions, Purchase Orders, production job starts)

• Oversee applicable contracts and payment schedules with accounting department

• Preparing and manage documents for events, including run-­of-show and production schedules

• Liaise with in­-house Creative and Production Teams to reach client goals for each project

• Obtaining City permits

• Ensure that purchase orders, project numbers, and service orders for events are assigned and opened

• Mentors and manages more junior team members, including temporary event staff

• Wrapping events

• Work all hours assigned, including weekends and holidays if necessary

JOB REQUIREMENTS:

• Experience working tent pole events

• 8+ years of event production experience

• A proven track record managing successful event productions and ability to show examples of past work

• Experience in executive producing a project and managing a budget of at least $1mil

• Experience in effectively managing a team

• Proficient in MS Office including Excel, PowerPoint, Word, and Outlook; Proficient in Google Drive including Docs, Spreadsheets and Gmail

• Technical production skills

• A fundamental understanding of fabrication

• Solid communication skills – written and verbal

• Polished, professional demeanor, projects confidence and enthusiasm for the business

• Proven success in project management and managing multiple priorities

• Demonstrated history of establishing effective working relationships across a diverse team

• Demonstrates solid understanding of agency processes, department functions and workflow

• Demonstrates knowledge of financials; billing reports, invoicing, financial maintenance on projects/clients and are able to generate estimates
