    Job Description

    SUMMARY:

    • Type, edit, and proofread letters, memos, reports, presentation materials, and prepare correspondence. 
    • Prepare materials from rough draft. 
    • Receive and prioritize incoming correspondence and phone calls. 
    • Respond to inquiries, including responding to routine requests for materials and information. 
    • Maintain confidential information including department records and files. 
    • May make travel arrangements, prepare and distribute agendas and meeting minutes, maintain appointment schedules and plan and coordinate special events.
    • Provide broad-level administrative assistance based on general direction. 
    • Facilitate projects by preparing and maintaining project plans, budgets, and staffing requirements.
    • Track progress and identify/resolve obstacles or elevate issues to resolve barriers. 
    • Provide a centralized source of information to the department.
    • Collect information from files or other areas of the company for routine inquiries and reports. 
    • Compile, coordinate and prepare required departmental reports. 
    • May assist in the formulation of department budget, track actual to planned expenses and report variances; coordinate budget results with management. 
    • Prepare and issue cost allocation and charge back information to Corporate Accounting.
    • May write, design, format, test and maintain departments’ web site utilizing a variety of web-authoring, graphics, and multi-media software applications.
    • Participate in special projects or other duties as assigned.

    Qualifications

    • Regular attendance is essential for this role.
    • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
    • Ability to work independently and manage one’s time.
    • Ability to keep information organized and confidential.
    • Basic mentoring skills necessary to provide support and constructive performance feedback.
    • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.

    Additional Information

    Education/Experience

    • Associate’s degree with additional college coursework or Bachelor’s degree.
    • Experience with advanced administrative work, including MS Office applications, or the equivalent combination of education and experience.
    • 2-4 Years' Experience
