    Administrative Assistant, full time for a Real Estate Operations office (non-remote) Jacksonville, Florida- 32256 We're hiring an organized administrative assistant to provide extraordinary customer service and administrative support to our HQ operations team and real estate agents. Responsibilities include transaction management, answering all phone calls and emails quickly and kindly, making existing office systems more efficient, buying materials for the office as needed, and planning travel arrangements and appointments for employees. You’ll also support the team by marketing the company and planning company events. Candidates should be great communicators who are driven, willing to learn new technology, and have great time management skills. Compensation: $14 hourly, pay increase after 90 days After a 90-day probationary period- Health Insurance, Paid vacation time, Sick Days, Paid Holidays Responsibilities: • Generate status reports as requested so the team is informed of progress reports • Improve skill sets through employee development programs • Increase productivity by creating record-keeping procedures for customer data filing systems • Schedule appointments, including travel arrangements or other company engagements • Buy materials for the office when necessary • Help build online marketing, brochures, email campaigns, etc. that highlight our services • Improve skill sets through employee development programs • Provide concierge-level customer service to vendors and customers to improve customer satisfaction ratings • Unlock and keep the office open to provide access to customers, agents, and other employees throughout the day, and to secure and close down the office at the end of the scheduled workday • The person in this position frequently communicates with customers and agents about the general office and real estate activities. Must be able to exchange accurate information in these situations • Constantly operates a computer and other office productivity machineries, such as a calculator, copy machine, printer, scanner, and fax machine • Maintain office supplies and submit orders • Maintain office equipment and equipment supplies • Manage office schedules for the team • Ensures transactions files are complete by reviewing files and following up with responsible parties • Maintain the office's professional and cleanly appearance • Communicate effectively, both verbally and in writing Qualifications: • Navigates computer programs with ease to provide a beneficial experience for customers • Customer service, bookkeeping, or administrative experience is preferred • Shows great interpersonal skills and excellent written communication • Can work well in a team environment • Can effectively communicate with others through emails • History of being deadline-driven and extremely organized • A high school diploma or GED is required, some college experience preferred • Technologically savvy; able to learn new programs quickly and troubleshoot common issues • Time management is important; complete changing tasks on a day to day basis with little supervision • Able to work closely with other admins in a close, tight-knit environment. • Navigates computer programs with ease to provide a quick front-desk experience for customers • Maintain confidentiality when assisting to problem-solve for clients and the team • Must be organized, proficient and on-time • History of being deadline-driven • Extremely organized • Display excellent written, problem-solving, and verbal communication skills • Must be proficient with Microsoft Office and Google Suite • CANNOT HOLD AN ACTIVE REAL ESTATE LICENSE IN THIS POSITION.
