Job Description
The purchasing agent administers requisitions and purchase orders to ensure that all requirements are met and that appropriate approvals are obtained. Agent is responsible for procuring common used items for the Calipatria facility.
Duties and Responsibilities:
• Verifies purchase requisitions by checking that items requested have been approved and that request contains correct cost center and purpose code, cost and item or service details and clarifies unclear items; recommending alternatives as necessary. • Releases approved purchase requisitions to issue purchase order. • Review purchase price with previous order. • Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department. • Purchasing common items (i.e. supplies, tools, etc.) for all departments. • Assist in resolving shipments in error with suppliers. • Match with invoice, PO and receiving documents and submit lo AP for payment. Sometime needs to change PO/Invoice to 'fil with approval of superior. • Keeps information accessible by sorting and filing documents. Solicits bid proposals and review requisitions for goods and services. • Assists in research suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities • Maintains purchasing information (records) for the purpose on ensuring availability of documentation and compliance with established policies. • Increase job knowledge by participating in educational opportunities and training. • Other duties as required.
Requirements:
• Associate's degree in business or equivalent work experience. • Proficiency in Excel and capable of performing reporting functions. • Excellent written and oral communications, inter-personal skills and ability to handle multiple projects.
