    Accounting Administrator

    Job Summary:

    Ecological Associates is a growing environmental consulting firm in Jensen Beach, FL.

    We are in search of a high-energy, environmentally conscious, AP/AR clerk with excellent accounting and administrative skills. 20-25 hours per week/Hybrid schedule.

    Supervisory Responsibilities:

    None.

    Duties/Responsibilities:

    Perform accounting duties while adhering to established accounting standards.

    Assist with the retrieval/filing of documents needed for invoicing by obtaining authorizations and purchase orders.

    Assist with creating and maintaining project logs and files.

    Assist with tracking project budgets.

    Process invoices, credit memos, and send payment reminders to clients.

    Enter invoices into client invoicing websites.

    Research invoice processing problems with clients and project leads to resolve problems and expedite payment.

    Proactively communicate with clients to obtain payment authorizations and resolve billing discrepancies, insufficient, and/or delinquent payments.

    Provide administrative and clerical support and assist staff and project managers.

    Communicate problems and/or customer issues with Management.

    Responsible for tracking asset life cycles, labeling, and managing inventory, as well as maintaining information on software licenses and service agreements.

    Acts as primary contact for warranty, repair, or technical help requests with outside vendors or software providers.

    Other support duties and tasks are assigned to support the company as required.

    Required Skills/Abilities:

    Able to work independently and as part of a team.

    Excellent organizational and accounting skills with attention to detail.

    Ability to meet deadlines within the expected timeframes.

    Excellent communication, data management, and creative problem-solving skills.

    Microsoft Office and Adobe Acrobat experience is required.

    Able to follow standard operating procedures.

    Education and Experience:

    Associate’s degree in finance or accounting required, Bachelor’s degree preferred.

    3 years of experience in small business accounting/bookkeeping.

    Experience in Deltek Ajera a plus.

    Physical Requirements:

    Prolonged periods of sitting at a desk and working on a computer.

    Pay Classification:

    Part-time, Hourly, Non-exempt, Benefit eligiblePay commensurate with experience

    Reports to:

    HR/Office Manager
