    Administrative Assistant

    We are seeking a motivated individual to join our Team as an Administrative Assistant and contribute to our continued success!

    All Wet Irrigation is seeking an Administrative Assistant who will deliver support to the General Manager at our Dover, NJ location. The ideal candidate will be detailed-oriented, is great at multi-tasking and is comfortable working in a fast-paced office environment.

    We are seeking an Administrative Assistant with 1-3 years exp. The ideal candidate will have excellent communication skills, provide great attention to detail and has experience with calendar management

    ESSENTIAL FUNCTIONS:

    Core Administrative Support:

    • Calendar Management- Manage daily schedule to ensure efficient allocation of General Manager's time focusing on meetings, appointments and key operational tasks.
    • Email and Call Filtering- Monitor and manage incoming emails and calls prioritizing urgent matters and filtering out non-essential information to streamline your workflow.
    • Meeting Coordination - Schedule and coordinate meetings including setting up conference calls and virtual meetings as needed. Prepare meeting agendas and take minutes during meetings to ensure follow-ups
    • Document Preparation and Management- Assist in preparing and organizing documents, presentations and reports for internal use. Maintain a well organized filing system for easy access to critical information. Compile basic reports that assist in monitoring operational performance or other simple analyses as directed.

    Documentation and Reporting:

    Operational Support:

    • Travel Arrangements- Organize travel logistics including accommodations and transportation, ensuring cost-effectiveness and adherence to company travel policies.
    • Data Entry and Basic Reporting- Perform data entry tasks and

    Cross-Departmental Support:

    • Coordinate Communications- Serve as a communication link between the General Manager and various departments handling messages and ensuring clear information flow.
    • Schedule Meetings- Arrange meetings involving different departments, manage the logistics like scheduling and document preparation.
    • Assist with Projects- Provide support for projects that involve teamwork across departments, helping keep track of timelines and necessary paperwork.
    • Share Information- Collect and distribute key updates from across the company to help the General Manager and Teams stay informed.

    General Office Management:

    • Supply Management- Monitor office supplies and place orders as necessary ensuring the office is well-stocked and operational needs are met.
    • General Support: Provide general support tasks as needed such as preparing for office meetings, organizing files and handling specific requests from the General Manager.

    KNOWLEDGE, SKILLS & ABILITIES

    • Organizational Skills- Ability to organize tasks and manage time effectively
    • Communication Skills- Good verbal and written communication skills; capable of handling correspondence and interacting with staff and external contacts.
    • Attention to Detail- Precision in managing schedules, documents, and data entry tasks
    • Being Proactive and Taking initiative- Willingness to take initiative and manage tasks with minimal supervision.
    • Adaptability- Ability to adapt to changing priorities and manage multiple tasks simultaneously.

    Education:

    High School Diploma or GED

    Computer Skills:

    Proficient in Microsoft Office 365 (Excel/Outlook/Powerpoint/Word
