About the Job
We are seeking candidates with experience in events, marketing and graphic design with excellent customer service skills and a willingness to hit the ground running and roll up their sleeves to achieve client and project goals. The ideal candidate will have a passion for using the creative process and emerging technologies to produce world-class events and campaigns for our clients. You’ll help create dynamic experiences for clients across the country. Candidate will work in close collaboration with team members.
This is a challenging multi-faceted position that would be ideal for an individual who is a self-starter and has the ability to adapt to a rapidly changing environment. Your attention to detail allows you to work efficiently in a busy work environment while maintaining accuracy and quality. Your ability to handle multi-tasking activities and excellent organizational skills will be highly utilized in a dynamic and professional business environment.
This position is remote but will be required to work normal business hours related to client customer service needs. Additional after-hours work will be required based on project needs and assignments. Travel and onsite in-person event support is required and will be up to 25% of the allocations for this role.
Responsibilities
Event Coordination
Develop and execute a detailed plan for assigned events including hosting an internal kickoff, staffing, logistics, and internal alignment on goals
Overseeing and executing pre-event planning including registration, material development, vendor outreach, BEOs, run-of-show, set-up and overall event experience with purpose to deliver "best in class" event experiences
Lead or support day-of execution, including coordination with team/vendors, last minute logistical needs, ensuring effective set-up/execution of event and providing course correcting instructions/directions, when needed
Liaison with the event venue, A/V, transportation, etc. to ensure all requirements and information for each event
Assist with setting up online registration systems
Prepare event budgets and ensure tracking and logs of all expenses in prep for final submissions and reports
Assist with materials development including coordination of committees or client requests related to agenda or program development
Assist with onsite prep and logistics for meetings and events –onsite travel is required and may be to remote domestic locations
Other event support duties as assigned
Graphic Design
Create materials and creative assets including flyers, brochures, signage, branding assets, etc.
Input edits and content into templates created with Adobe products
Produce social media assets, including content creation, video and photo editing
Develop website assets, including banners, images and video
Marketing
Assist in execution of marketing programs and campaigns
Support in development of content/schedules for websites and social media platforms
Assist in updating client and event websites
Manage, create and distribute monthly newsletters
Stay informed about industry trends, content marketing best practices, and emerging technologies to deliver innovative solutions
Support in other marketing duties as assigned
Project Coordination & Administrative
Provide customer service support to client phone line providing answers and assistance and forwarding to the appropriate department.
Accurately review and finalize minutes from teleconferences and in-person meetings
Assist with database and records updates on an ongoing basis
Research and compile data to prepare internal and external project documents including project logs, comparison charts, weekly updates, flow charts, agendas, presentations, and tracking maps
Quality Assurance of documents and data in prep for Project Manager review
Support additional event and marketing efforts as needed, including administrative support
Qualifications & Requirements
5 years of work experience in events and marketing
Extensive knowledge of Adobe Creative Suite, including InDesign, Illustrator, Photoshop; please include a portfolio exhibiting a mix of digital and print with your application
Strong Microsoft Office experience
Experience with online event registration platforms such as Aventri, Bizzabo, Swoogo, etc. (Preferred but not required)
Experience with Smartsheet and Asana (Preferred but not required)
Comfortable with phone customer service support
Ability to travel including up to twice per month during peak seasons
Ability to maintain a strong sense of focus and confidence under pressure, tight deadlines and varying workloads
Ability to grasp new concepts quickly and integrate into day-to-day tasks
Ability to work across different disciplines is key to success
Strong attention to detail and highly organized
Strong interpersonal skills with the ability to talk with people at all levels
Willingness to be flexible in working late and working at offsite events, if needed
