  • Responsibilities

    Our client is a mechanical engineering firm specializing in the design of HVAC, plumbing, and fire protection systems in commercial, healthcare, institutional, residential and mixed-use high-rise projects. Currently, they are seeking a Billing Coordinator.

    As a Billing Coordinator, your responsibilities may include:

    • Working closely with Project Managers to ensure all relevant invoicing and fees are captured
    • Invoicing customers as per the fee agreement or contract in a timely manner while ensuring accuracy
    • Reviewing billing summary for Work in Progress (WIP) corrections and invoicing as per Project Lead direction, as well as coordinating and assisting WIP cleanup
    • Resolving invoicing corrections and outstanding payment issues in a courteous manner
    • Managing and processing disbursement within the invoicing process
    • Coordinating vendor/sub-consultant inquiries and requests for payments specific to projects and approval by Project Managers
    • Processing of corporate VISA related expenses
    • Generating project management reports such as billing summaries, labour costings, disbursements, and hour details
    • Processing customer payments into the accounting system
    • Assisting with month-end procedures and other accounting duties as assigned

    On your resume, we’ll be looking for the following:

    • 2+ years of billing experience in an engineering, professional services, or construction environment
    • Certificate or diploma in business or related field
    • Experience in a small to midsize ERP environment
    • Prior experience using invoice submission platforms such as GC Pay
    • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, etc.)

    During the interview process, we will be looking for behaviours that demonstrate:

    • Excellent understanding of billing processes; previous experience with Canadian and US vendors is an asset
    • Strong interpersonal skills and your ability to communicate across all levels of an organization
    • Ability to work independently and adapt to the stress of tight deadlines while maintaining a high level of attention to detail
