    PATH is currently recruiting for an Executive Assistant to support the activities of the Chief of External Affairs and the Deputy Director of External Affairs (DDEA). The External Affairs division provides leadership and strategy for PATH’s internal and external communications, brand management, philanthropic development, advocacy and public policy, and audience engagement. The Executive Assistant to the Chief of EXA, is responsible for executive-level support across a broad range of activities and will also create and maintain key strategic tools and processes that advance the work of the External Affairs team.

     

    Responsibilities:

     

    • Serve as the primary administrative contact for the Chief of EXA and DDEA, handling confidential and sensitive information appropriately.

    • Provide a project management focus to integrating key deliverables for the Chief of EXA and DDEA. Establish and manage approaches to ensure on time delivery.

    • Overall management responsibility for the Chief of EXA’s and DDEA’s calendar and schedule, including prioritization, follow-up, and dissemination of information.

    • Manage outreach and engagement responsibilities, including membership and sponsorship administration, event planning, and execution.

    • Create and maintain key business management tools and processes, such as strategic activity calendars, on behalf of the Chief of EXA and the EXA leadership team.

    • Plan and coordinate the production of documents, reports, presentations, and articles.

    • Design, update, and manage the EXA SharePoint sites, including working with key stakeholders in EXA to develop the business processes for site maintenance.

    • Provide CRM (Salesforce) support to Chief of EXA and DDEA to record and track key relationships.

    • Prepare and review communications materials to ensure quality and accuracy of information, including: internal/external correspondence, PowerPoint Presentations, reports, talking points, and other materials.

    • Liaise with PATH employees, committees, and leaders, as well as community leaders and networks, as delegated by the Chief of EXA. Support the Chief of EXA and DDEA in serving as a PATH representative to local and international organizations.

    • Plan and manage domestic and international travel for the Chief of EXA and DDEA by working with PATH's travel agent and internal travel management teams. Complete required documentation prior to travel and submission of travel expenses following trip completion.

    • Coordinate all arrangements for conferences, teleconferences, workshops, meetings, and other events including equipment needs, catering, travel arrangements, hotel suggestions, taxicabs, and other necessary details for staff and guests.

    • Schedule, organize, attend, and support regular and ad hoc meetings with EXA Leadership Team and other members of the PATH community, supporting the Chief of EXA and DDEA in setting agendas, taking notes, and following up on meetings as well as identifying and solving problems. Maintain Action/Decision/Issues Log for these meetings.

    • Engage as a partner to other Executive Assistants (EAs) in assuring efficient coordination of leadership schedules, meetings, etc. Serve as back-up to other EAs as needed.

    • Coordinate other events as needed.

    Required Skills Required Experience

     

    • Seven to ten years of executive support experience or equivalent experience.

    • Exceptional oral and written communication skills.

    • Excellent computer skills using MS Office Suite required; demonstrated high-level proficiency in creating and editing documents in Word and PowerPoint required; proven ability creating and maintaining SharePoint sites and operating all aspects of Skype for Business required; additional software experience highly preferred.

    • Strong demonstrated interpersonal skills and diplomacy.

    • Strong organizational skills and composure needed to work within a fast-paced work environment, including proven ability to prioritize competing demands effectively and adapt easily and quickly to changing priorities.

    • Demonstrated ability to work with virtual teams. Appreciation for challenges of managing across multiple time zones.

    • Excellent demonstrated experience managing a complex, dynamic schedule and effectively prioritizing competing demands. Proven ability to adjust to changing schedules and keep the Chief of EXA and DDEA up to date and on time.

    • Knowledge of cross-cultural communication issues and demonstrated ability to work effectively in diverse teams.

    • Collaborative working style with the ability to independently initiate and coordinate projects.

    • Excellent team player who can engage in ways that enable overall team efficiency.

    • Experience supporting staff who travel frequently.

    • Excellent communication, drafting, proofreading, and editing skills.

    • High level of attention to detail and ability to work well under deadlines.

    • Demonstrated interest in international cultures.

    • High integrity and ability to maintain confidentiality.

    • Demonstrated commitment to PATH’s mission and values.

    • Must have legal authorization to work in the United States.

     

    COVID-19 VACCINE REQUIREMENT:
