HUMAN RESOURCES ASSOCIATE
PHILADELPHIA, PA
Elliott-Lewis Corporation is a leader in the HVAC and mechanical services industry in the greater Philadelphia region. We provide a variety of services and support to commercial, industrial and governmental customers. We are seeking a HUMAN RESOURCES ASSOCIATE to be responsible for a variety of HR tasks, and projects supporting the employees and management of Elliott-Lewis. Our organization currently has approximately 450 employees and will cross over into 500 in 2022. This newly created role will join our team not just for immediate projects, but for the long-term organizational growth to come.
There will be an orientation period to this position which includes: software/program training for all computer programs used in our organization, shadowing opportunities, and education on government/industry rules.
JOB RESPONSIBILITIES:
Assists in the day-to-day functions within Human Resources including:
- Create entries into employee vaccination status database
- Will include logging booster shots in employee files, logging vaccination status of new hires, and data maintenance
- Everify new hires and respond to TNC verdicts from Department of Homeland Security (DHS)
- Facilitate random drug testing program
- Includes sending notifications to employees that are randomly selected, logging test results, providing instructions to employees who need to retest due to diluted results
- Review results of cyclical motor vehicle record background checks
- Includes reading MVR reports and sending correspondence based on findings
- Data entry into HR systems
- Systems used include these types: Applicant Tracking System (ATS), Onboarding Tracking App, Background Check Database, Benefit Administration Database, and additional Vendor Cloud-Based Databases
- Prepare annual government filing or record collection for the following
- Retirement Plan 5500’s (filing), NASAP (filing twice annually), Department of Transportation (record keeping not filing), Family Medical Leave Act (case by case review and administration), Medical Loss Ratio (rebates), Affirmative Action Plan (filing), Equal Opportunity Employer (filing)
Works on various projects with the HR team as assigned. This will include:
- Event planning for Learning and Development classes and workshops
- Audit internal data for accuracy, present findings to HR team, research solutions to correct data discrepancies, collaborate with internal stakeholders to ensure data collected in future is correct
Training and shadowing will be provided for all responsibilities and computer systems used. This includes internal company computer programs and also cloud-based systems which are software as a service (SAAS).
REQUIREMENTS:
- Bachelors degree with a major in Human Resources, Business Management, Business Administration or related field of study.
- Direct work experience in the Human Resources field is NOT required, however internship experience in HR preferred.
- Ability to maintain confidentiality and maintain privacy in a professional manner.
- The ideal candidate is a recent graduate, with a strong work ethic that carried them through group projects during their education.
- Further, the ideal candidate will be an extrovert, who values strong communication as this is a shared core value of the current HR team at Elliott-Lewis.
- Proficiency in Microsoft Word, PowerPoint, and Excel are required.
- However beyond these three programs, there are NO requirements for prior software experience as training will be provided for any programs used in this role.
- Strong organizational skills are required as this role entails detailed record keeping and clear presentation of findings.
- Candidates currently working in hospitality, a caretaker role, another adjacent field, or even a side-job will be considered.
