SUMMARY OF POSITION: The Sales/New Client Coordinator is responsible for coordinating new client on-boardings, handling existing client account changes, and providing a unique and customized client service experience. Performs a broad range of complex duties in handling client accounts, communicating cross-functionally within the organization, and ensuring completion of on-boarding or other projects within the required timeframe. This position also provides on-going support to the Sales Team.
RESPONSIBILITIES:
- Responsible for answering incoming calls, helping clients when possible, taking accurate messages, and routing calls to the appropriate team member.
- Provides support to the Sales Team in organizing and maintaining data, tracking engagements, and tracking incoming payments.
- Updates and maintains prospective and existing client information in Salesforce and generates reports on an on-going basis.
- Coordinates and manages the new client on-boarding process across Payroll, Benefits, Insurance, and Human Resources Departments. This includes, but is not limited to the following:
- Acting as the primary point of contact for new clients throughout the on-boarding process;
- Defining objectives and setting client expectations throughout the on-boarding process;
- Collecting, analyzing, and disseminating client data and information across all departments. This includes effectively communicating cross-functionally with other departments within the organization;
- Ensuring client completes all necessary Service Agreements, Power of Attorney Forms, and other required on-boarding paperwork;
- Conducting calls with clients and necessary team members to identify the client’s unique priorities, answer client inquiries, and provide information to client;
- Assisting in the resolution of payroll, tax and other human resource issues related to client on-boarding;
- Tracking deadlines and monitoring on-boarding to completion; and
- Ensuring achievement of client on-boarding and migration within required timeframe.
- Coordinates changes to existing client accounts, including entity changes, opening of office in a new state, and practice acquisitions.
- Effectively addresses client and employee inquiries with assurance and responsiveness and provide readily available information as it relates to servicing their accounts, as allowable by policy.
- Responsible for creating and maintaining a structure/process for obtaining, filing, scanning, organizing, and maintaining client data, records, and documentation.
- Provides general administrative support such as preparing correspondence, the completion of forms, generating reports, processing confidential documents, electronic filing, and tracking deadlines.
- Ensures that all client contact and correspondence is documented and saved appropriately.
- Completes special projects by clarifying project objective, setting timetables and schedules, conducting research, and development and organizing information.
- Interacts and supplies information to other departments within the organization on a regular basis.

- Experience with Salesforce Preferred.
