Secretary / Office Manager
Job Description
Our busy office is currently accepting applications to fill the role of Secretary within our customer service department. The successful candidate will perform skilled clerical work, and provide general secretarial support to department administrators. The Secretary will be responsible for assisting with scheduling, payment processing, and general organization of the office. This position is ideal for someone who is motivated, able to prioritize work assignments as they come in, and capable of working without supervision. We are a company who has been in business for 4 years and is expanding rapidly.
Responsibilities
Answer phone calls and redirect them when necessary
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Prepare and disseminate correspondence, memos and forms
File and update contact information of employees, customers, suppliers and external partners
Support and facilitate the completion of regular reports
Develop and maintain a filing system
Check frequently the levels of office supplies and place appropriate orders
Make travel arrangements
Document expenses and hand in reports
Undertake occasional receptionist duties
Requirements
Proven work experience as a secretary or administrative assistant
Familiarity with office organization and optimization techniques
High degree of multi-tasking and time management capability
Excellent written and verbal communication skills
Integrity and professionalism
Proficiency in MS Office and MS Excel (or google equivalent)
High school diploma
Not Required but highly desirable
Bilingual Spanish (Speaking, reading, and writing)
Social Media Management Skills (Twitter, Instagram, Facebook)
Email Marketing Ability (MailChimp)
Job Type: Part-time
Salary: $16.00 to $20.00 /hour
