Enrollment & Attendance Manager
Classification: Full-time, Exempt, Salaried

Travel: reliable transportation required between campuses and to events/home visits
IOTA Community Schools is seeking a full-time Enrollment & Attendance Manager. This critical role will manage the student enrollment process . We are seeking a candidate who is self-motivated and a self-directed learner with strong interpersonal skills as well as meticulous attention to detail. This role will lead work across multiple campuses and manage one team member.
Position is year-round with benefits. Work schedule is Monday-Friday with extra hours required during heavy enrollment periods on weekends and/or evenings. This is an on-site role requiring consistent access to transportation to and between campuses, conducting home visits, and attending community events. Travel the first year is expected around Memphis with possible limited travel to Little Rock. Subsequent years will include more travel to the Little Rock area.
SUMMARY:
Responsible for outreach to potential students and their families, leading marketing campaigns for students and maintaining student enrollment, coordinating school enrollment teams and events, while also acting as the subject-matter expert of SchoolMint.
ESSENTIAL DUTIES INCLUDE:
- Lead the marketing campaign for IOTA while making data-driven decisions on strategic plans
- Drive school efforts with engagement strategies designed to build prospective student interest leading to enrollment outcomes
- Lead system needs as it relates to the student enrollment platform
- Own enrollment strategy to create, execute and facilitate student recruitment and embed enrollment into all aspects of IOTA culture
- Enter and/or modify student personal, demographic, and academic data
- Establish relationships with existing families to enroll siblings and engage prospective families
- In conjunction with direct report, manage the SART process for 100 percent accuracy in attendance taking and utilization of processes/procedures
- Responsible for ensuring data and files are complete with all SIS errors addressed by deadline
- Responsible for records requests from other school districts
- Schedule appointments for new students
- Prepare and present enrollment reports
- Work jointly with the Leadership team to plan and host marketing and enrollment events
- Lead enrollment events such as Open Houses, Transfer Student events, etc.
- Organize and conduct school tours with student prospects
- Work closely with recruitment teams at the school and network level
- Weekly school level meetings to review attendance and enrollment with school leadership
- Lead spring and summer summer recruitment efforts
- Conduct home visits as needed based on chronic absenteeism data or student enrollment initiatives
- Other duties as assigned
KEY PERFORMANCE INDICATORS:
Year 1:
- Deployment of annual recruitment and enrollment calendar with automation and training decks and timelines codified
- 100 percent of all participants trained and automations created and monitored for accuracy
- 85 percent of weekly school-level meetings implemented with clear agendas, data-driven conversations resulting in attendance improvements and recruitment goals being met
- In conjunction with Data team, ensure 100 percent of data utilized is accurately supporting attendance, recruitment and enrollment
- Configuration and testing of SchoolMint and/or other student enrollment platform to ahead of re-enrollment or enrollment to align to state requirements and reflect IOTA priorities and goals
Ongoing:
- 100 percent of IOTA campuses average 85 percent daily attendance for the school year
- 100 percent of school-site staff taking attendance daily using correct processes/procedures
- 100 percent of appropriate IOTA staff receive SchoolMint training by re-enrollment kick-off
- 90 percent of staff can communicate recruitment and enrollment goals at all time
- 100 percent of IOTA campuses with a lottery meet or exceed their targeted goals
- At least 85 percent of students accepted in the lottery convert to students
- 100 percent of IOTA campuses meet their enrollment targets by September 1 annually (this will be broken down and tracked monthly to lottery or enrollment targets)
- 100 percent of SIS errors resolved by the deadlines with year of year reductions in errors
- 100 percent of student files in compliance ahead of all oversight visits or quarterly audit
