We currently have four open positions: HR, Accounts Payable, Purchasing Associate, and Executive Administrative Coordinator.
Human Resource Staff:
- Assist with posting jobs and screening candidate resumes.
- Schedule interviews and communicate with job applicants.
- Help coordinate the onboarding process for new hires.
- Maintain and update employee records and HR databases.
- Prepare HR-related documents as needed.
- Respond to basic employee inquiries regarding HR policies and procedures.
- Perform general administrative tasks such as filing, photocopying, and data entry.
Accounts Payable:
- Assist with reviewing and entering invoices into the accounting system.
- Help match invoices with purchase orders and receiving documents.
- Support basic payment preparation via check, ACH, or wire transfer.
- Maintain organized digital and paper invoice records.
- Communicate with vendors regarding payment questions or missing documents.
- Help resolve basic discrepancies between invoices and supporting documents.
- Support vendor statement reconciliation under supervision.
- Assist with general clerical tasks such as filing, scanning, and data entry.
Purchasing Associate:
- Generate purchase orders based on approved requisitions.
- Communicate with vendors to obtain quotes, place orders, and track shipments.
- Maintain accurate records of purchase orders, vendor information, and pricing.
- Resolve discrepancies with vendor deliveries and invoices.
- Maintain organized purchasing files and documentation.
Executive Administrative Coordinator:
- Maintain office supplies inventory and place orders as needed
- Coordinate maintenance of office equipment and manage vendor relationships
- Assist with scheduling meetings, appointments, and conference room bookings
- Support onboarding of new employees with desk setup, access, and materials
- Maintain office cleanliness and organization in collaboration with facilities staff
- Provide administrative support such as data entry, filing, and document preparation
