    ABOUT THIS ROLE

    STATUS AND TIME COMMITMENT: This is a full time employee position.

    SALARY: Salary is starting at $110K annually plus benefits.

    BENEFITS: 100% healthcare coverage, 401K offering, and flexible time off.

    TIMELINE: We are accepting interest in this role through March 21st, 2024. We are looking to begin working with someone in April, 2024.

    LOCATION: This role is a hybrid role requiring both IN-PERSON time and remote work. We are looking for someone located in the Bethesda, Maryland area.

    Between Equals, having two young kids at home (6 year old daughter and 4 year old son), and prioritizing my own health and wellness I have little time left over. I do love spending time outside, playing the piano, and reading.

    WHO I AM LOOKING FOR

    I’m looking for a long term collaborative partnership with an experienced Executive Assistant who is my right hand and most trusted ally managing my day to day. You are passionate about supporting me and being a part of our team. The ideal candidate for this role is inspired by my mission, is a great fit with the culture we are creating, and is driven to protect my time and energy, help me stay organized and do only the things that inspire and excite me.

    You will play a crucial role in organizing my professional and personal life. I am looking for someone that can toggle between supporting me and supporting the wider team and the business with various tasks and responsibilities. You love the details and consider yourself extremely organized and able to stay two steps ahead of me at all times. You can help me prioritize and optimize my time and focus.

    Moreover, you find joy in managing my personal affairs including coordinating with my nanny and babysitters for my kids, handling dry cleaning, coordinating household maintenance with contractors, scheduling summer camps, etc.

    This role is a fit for you if you are an expert Executive Assistant, love to support a creative entrepreneur, and are ready and eager to step powerfully into this role.

    YOUR RESPONSIBILITIES

    Support for me:

    • Help me prioritize my time and energy so that I’m focused on things that are the most productive and fulfilling for me, while also ensuring I have unstructured time for creativity.

    • Proactively identify things I shouldn’t be doing or can get off my plate and work with me to figure out the best way to make this happen.

    • Hold and manage details for me so I don’t have to spend the energy or bandwidth tracking them.

    • Manage my busy calendar and coordinate a variety of meetings or appointments.

    • Manage all communications, messages, and connection requests that are coming to me through email, LinkedIn, X, etc.

    • Be a gatekeeper for people who are asking for my time while being mindful of my schedule, energy, and bandwidth.

    • Manage logistics for meetings including organizing agendas, sending calendar invites and reminders, and ensuring I have everything I need to have a productive connection.

    • Coordinate travel including booking airline reservations, hotel accommodations, restaurant reservations, ground transportation, and making sure I have details and resources to support me when I’m away from home.

    • Handle personal tasks for me, acting as the bridge between me, my never ending personal to do list, our nanny, housekeepers and various babysitters.

    Support for the business and the team:

    • Provide support for operational and administrative tasks that help me and the team.

    • Handle logistics that support team member onboarding and offboarding.

    • Coordinate schedules between the team/clients in order to schedule meetings.

    • Create and maintain an organized ‘virtual office.’ This includes managing and organizing files and documents so they are easy to find, and managing online systems and tools that we use in the business.

    • Document any processes, procedures, and templates that relate to your work and keep these organized and up to date.

    • Manage all logistics for team offsite meetings and other team gatherings and events.

    • Take full ownership of open ended projects and see them through to 100% completion, collaborating with other members of the team when necessary.

    YOUR EXPERIENCE AND EXPERTISE

    • 3+ years’ experience as an Executive Assistant.

    • Experience working in a virtual environment alongside a visionary entrepreneur in a fast paced business during a period of immense growth.

    • Creative and efficient problem solving capabilities and the ability to proactively identify solutions when issues arise.

    • Strong written and verbal communication skills with a willingness to communicate openly and give/receive feedback.

    • Exceptional organizational skills, attention to detail, and the ability to prioritize and constantly stay ahead of the person you are supporting.

    • Ability to handle multiple projects and tasks simultaneously while prioritizing what’s most important and being able to see the big picture and second order consequences in the work you are doing.

    • Experience creating and maintaining written procedures and looking for inefficiencies that can be improved.

    • Strong leadership skills, be a self-starter, a critical thinker, and have the ability to take action independently and not wait to be told what to do.

    • Up to date knowledge of commonly used online collaboration tools and strong technical ability to navigate online systems with ease. These are some of the tools we currently use in the business:
