    Job Description

    The Receptionist/Office Assistant requires a friendly and confident personality, a smart appearance, well-spoken and good written communication skills. The ability to stay calm under pressure, the ability to de-escalate upset clients, and good organizational skills. A responsible, reliable, hard worker who takes initiative to improve the outcome of the organization. The daily tasks will involve:

    • Scheduling
    • Answer phones and messages
    • Scanning
    • Faxing
    • Shredding
    • Collections
    • Record Keeping/ Filing
    • Data Entry
    • Office Supply Upkeep
    • Manage waiting room

    Assisting Owner with:

    • Clerical duties
    • Scheduling
    • Scanning
    • Data Entry
    • Collections
    • Record Keeping
    • Reports
    • Additional projects as assigned.

    Assisting Staff with:

    • MUST complete Hubdoc certification prior to 90 days review.

    • Greet clients in store, virtually, or via phone service.

    • Interview clients to gain a full picture of their financial situation.

    • Maintains customer confidence and protect operations by keeping financial information confidential.

    • Assists with completion of quarterly reports by established deadlines.

    • Assists with financial report preparation

    • Contributes to team effort by accomplishing related results as needed.

    • Other clerical duties as assigned.

    QUALIFICATIONS AND EDUCATION REQUIREMENTS

    High School Diploma or equivalent. Course of study in a tax or accounting preparation school. Basic IT skills are required involving use of Windows 7/8/10, Microsoft Word, Excel, Power Point. 50+ WPM. Proficient in navigating a computer. Accounting, Corporate Finance, Reporting Skills, Attention to Detail, Deadline-Oriented, Reporting Research Results, SFAS Rules, Confidentiality, Time Management, Data Entry Management, General Math Skills.

    REQUIRED SKILLS

    BILINGUAL IN ENGLISH AND SPANISH. PROFICIENT WITH A COMPUTER IS A MUST, exceptional customer service, fast learner, self-starter, independent worker, able to work in a fast paced environment, self-prioritize and MULTITASK WITH EFFICIENCY. Must be comfortable floating between both departments. Must be able to think outside the box to find solutions as they arise.

    PREFERRED SKILLS

    3+ years experience as Administrative Assistant/Receptionist. Knowledge in Accounting/U.S. Taxes. Types 50+ WPM. Proficient in OltPro, File Center, Xero, and Receipt Bank software. Two year experience is preferred.

    SCHEDULE

    Flexible scheduling on a part-time basis. Must be available to work between Wed - Sat 11 am to 4 pm part-time Off-Tax Season. During Tax Season, must be available to work Sun - Sat 9 am to 8 pm. Opportunity for more hours during On & Off Tax Season.

    POSITION

    Seasonal Front Desk Receptionist with opportunity for long-term position or growth in another department.

    Masks optional, sneeze guards are installed at all stations, daily disinfection practices, scheduled appointment times with clients, encourage all services be provided virtually.
