What You Will Do
Estate Planning Support
· Assist with client intake, information gathering, and follow-up for estate planning matters.
· Prepare and revise estate planning documents (e.g., wills, trusts, powers of attorney, health care directives) from attorney-approved templates under supervision.
· Coordinate document signing appointments, witness and notary arrangements, and ensure proper execution and delivery of documents.
· Maintain organized estate planning files, both physical and electronic, and track open tasks and outstanding items.
Corporate and Entity Support
· Prepare and file formation and maintenance documents for corporations, LLCs, and other entities with the Secretary of State and related agencies.
· Assist with drafting and organizing corporate governance documents, including minutes, consents, bylaws, operating agreements, and related records under attorney supervision.
· Maintain corporate records books, entity ledgers, and compliance calendars (annual reports, statements of information, and similar filings).
· Support basic contract and transactional documentation tasks as assigned.
Case and File Management
· Open, organize, and maintain active client files; ensure that documents, correspondence, and notes are properly saved in the firm’s systems.
· Maintain and update the firm’s calendaring and case management systems with key deadlines, meetings, and follow-up tasks.
· Coordinate with courts and administrative agencies on filing and scheduling issues, as directed by the attorneys.
Client Communication & Attorney Support
· Communicate with clients by phone and email to schedule meetings, request information, and provide status updates under attorney direction.
· Draft, format, and proofread correspondence and basic legal documents from templates, ensuring accuracy and professionalism.
· Assist with billing-related tasks, such as tracking billable time, helping to ensure entries are complete and timely, and supporting invoice processes as needed.
Teamwork & Operations
· Collaborate closely with attorneys, tax professionals, and administrative staff to keep matters moving and avoid dropped balls.
· Participate in internal meetings related to matter status, workload, and operational improvements.
· Follow and support firm policies and procedures, including documentation standards, timekeeping expectations, and client communication protocols
