Job Description

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Processing of vendor invoices relative to purchases made by each department, coding of General Ledger accounts based on the nature of the purchase
2. Contact vendors on an as needed basis and/or answer vendor questions regarding invoices.
3. Maintain and update vendor files
4. Supervise all departments study payment requests and disbursements for new and ongoing client studies
5. Monitor  and perform the closing and reconciliation of study panels and maintain records of panelists payments
6. Process deposits, withdrawals of panel requests and petty cash requests
7. Interact with bank personnel relative to weekly panel requests
8. Prepare, maintain and check for accuracy the panelist payment files for all departments
9. Data entry of panelist study payments into the system from January to December of each year in preparation for the issuance of Form-1099
10. Handle 1099 inquiries  from panelists and vendors
11. Submit new and updated w-9’s for panelists and vendors
12. Key player in creating and maintain purchase order for company
13. Create, manage and present key excel reports on expenses made by subject participants and offer recommendation for improvement in cost saving for company.
14. Special projects as assigned by Financial controller and/or BU President

Qualifications

• Associates Degree or higher
• At least 5 years of relevant wok experience in AP/AR or related Accounting position
• Ability to multi task and work independently
• Advanced computer knowledge i.e. MS Excel, Word, Outlook
• Accounts Payable coding knowledge is a plus
