    We are currently seeking a highly motivated Event Coordinator with 5 years’ professional experience with trade show style events and exhibits to support a Federal Government contract. Must pass a background check for security clearance, be a U.S. citizen, and must be able to work on site in Washington, DC/Alexandria, VA.

    Job Duties / Responsibilities:

    Plans, organizes, and executes various events (corporate or promotional), managing every detail from concept to completion.

    Key responsibilities include vendor negotiation, venue selection, budget management, timeline creation, on-site logistics, and ensuring client/guest satisfaction.

    You will serve as the main point of contact for all event-related inquiries and problem-solving.

    Provide logistics support for a variety of meetings, events, and conferences.

    Provide direct support to internal and external events to include managing venue requirements, signage, invitations, attendance, and other requirements as needed.

    Research requirements and context for various events, meetings, and conferences, to ensure the staff is prepared to interact with various audiences and stakeholders.

    Identify and manage inventory for educational information resources and other outreach materials.

    Coordinate exhibit design, technology, and management with designated vendors/partners.

    Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits and activations, supplies, and experiences to suit specific event needs.

    Ability to carry/maneuver various pieces of heavy equipment (50+lbs) for onsite events and exhibits (e.g., carrying banners/boxes of materials to rolling crates.)

    Can easily adapt onsite events and exhibits planning and logistics skills to virtual platforms and environments.

    Have access to equipment such as a laptop, Adobe CS, Microsoft Office Suite, and other project management and design programs as needed.

    Familiar with federal requirements (e.g. 508 compliance) and will ensure the client is compliant with such regulations.

    May involve some travel.

    Skills & Requirements:

    Bachelor’s degree or equivalent from a four-year college.

    Five years of professional experience with trade show style events and exhibits.

    Professional, expert level of experience managing shipping and receiving logistics, including direct to site shipping, shipping to advanced warehouse, overnight shipping, and event to event shipping.

    Demonstrated expert level of experience working with major trade exposition companies to include managing relationships, purchasing of materials and services, coordinating logistics, and other related activities.

    Demonstrated expert level of expertise in customer service.

    Expert level of experience with using Adobe Creative Cloud and Microsoft Office suite of products.

    Ability to gather requirements from stakeholders and work collaboratively within a team as well as independently on assigned projects.

    Ability to take creative direction from stakeholders.

    Demonstrated expert level of experience with asset management systems.

    Demonstrated expert level of experience working with major trade exposition companies to include managing relationships, purchasing of materials and services, coordinating logistics, and other related activities

    Demonstrated ability to manage shipping and receiving logistics, including direct to site shipping, shipping to advanced warehouse, overnight shipping, and event to event shipping.

    Ability to generate detailed after-action reports for each event.

    May involve some travel.

    This is a full-time, on-site position located at the client’s facility in Washington DC/Alexandria, VA.

    Ability to learn quickly, adapt, organize, and prioritize work in a fast-paced environment.

    Must be highly organized with a strong attention to detail.

    Must be a U.S. citizen.

    Must pass background check for security clearance.

    Must submit: 3-5 pictures of expo-style booths you have managed; a sample inventory system; and a sample event checklist.
