OVERVIEW
The vision of Commission 127 (C127) is that kids from hard places would experience love through a well-supported family. C127’s mission is to strengthen and support foster and adoptive families by creating community and equipping churches to launch and lead Family Advocacy Ministries. The C127 model hinges on developing strong Family Advocacy Ministries (FAMs) in local churches to accomplish this mission. The C127 staff works diligently to guide these FAMs to success and to give them the best resources available to maximize kingdom impact. POSITION SUMMARY
The Events & FAM Support Coordinator creates meaningful moments that build community while also strengthening the internal systems that support Commission 127’s (C127) programs and team. This role plans, executes, and follows up on all internal and external events including offsite retreats, family gatherings, volunteer appreciation, and staff celebrations. This role also provides executive support, ensuring both external experiences and internal operations reflect excellence, care, and intentionality.
EVENTS & CELEBRATIONS (Primary Focus)
The following is a list (not exhaustive) of some of the most important aspects of the role:
Managing multiple event timelines, checklists, and deadlines
Coordinating logistics for venues, vendors, supplies, sponsors, and catering
Ensuring consistency in branding, signage, and materials
Tracking RSVPs, dietary needs, and attendee communication
Scheduling and setting agendas for meetings
Creating run-of-show documents and volunteer assignments
Recruiting, scheduling, and caring for event volunteers
Executing events as point person for events
Managing event budgets and expense reporting
Assembling event kits, décor, and giveaways
Overseeing setup and teardown for smooth execution
Sending post-event follow-up, thank-you communication, and feedback collection
EXECUTIVE SUPPORT
The following is a list (not exhaustive) of some of the most important aspects of the role:
Supporting calendar coordination and scheduling across the team
Supporting special projects and strategic initiatives
Assisting with inbox management and team communication
Meeting management, including creating agendas, prepping, and managing follow up tasks and communications
Oversee and optimize Google Workspace systems to ensure clarity, consistency, and effective use, including form creation and platform organization
Other duties as assigned
GENERAL QUALIFICATIONS
Aligned with Commission 127’s mission and values
Engaged and active within their local Christian church community
Highly organized with strong attention to detail
Warm, relational communicator with a heart for hospitality
Proactive, takes initiative, and follows through on responsibilities
Willing to step into new tasks, learn quickly, and grow through coaching
Comfortable making decisions and taking ownership, even while learning
Strong collaborator who helps move others forward on shared goals
Clear, timely, and professional in all communication
Experience in event planning, administration, or operations preferred
Proficient in tools such as Google Workspace, Slack, and Canva
Able to commit full time hours/week in the office, or on-site at events (some weekends/evenings)
