The Event Coordinator plays a key role in the planning, coordination, and execution of all Sip & Savor events — both on-site and off-site. This position serves as the direct liaison between the client, kitchen team, and delivery logistics to ensure that every event is executed with precision, timeliness, consistency, and intentional hospitality. The Event Coordinator is responsible for maintaining consistent communication with event leads, ensuring smooth transitions from booking to completion, and representing the Sip & Savor brand with professionalism and excellence. This role is instrumental in bringing the brand’s mission to life — “Where Coffee and Meets Community.” Responsibilities: Event Coordination & Communication • Serve as the primary point of contact for all new event leads and inquiries. • Manage all communication with clients from initial inquiry through event completion, ensuring clarity, accuracy, and responsiveness at every step. • Schedule and confirm event details, including date, time, guest count, setup requirements, and catering selections. • Coordinate with the 7th Floor Hospitality Events Division to ensure alignment with brand standards and service expectations. • Conduct on-site host meetings and act as the day-of event representative to oversee guest satisfaction and event flow. • Facilitate smooth transitions from client booking to staff execution, ensuring all events are delivered seamlessly. Catering & Operational Execution • Lead & assist with the assembly and packaging of catering meals to ensure presentation, accuracy, and timely readiness for pickup or delivery. • Coordinate with assigned drivers and delivery partners to guarantee on-time pickup and delivery of catering orders. • Build & maintain accurate checklists, packing slips, and delivery confirmations. • Ensure all catering orders meet Sip & Savor’s quality, consistency, and presentation standards. • Support kitchen and operations teams with prep and packing during high-volume periods. Vendor & Inventory Coordination • Place and track orders through approved vendors for catering supplies, event materials, and inventory replenishment. • Verify deliveries and ensure all vendor transactions align with event budgets and purchasing policies. • Maintain an organized storage area for all event and catering supplies. • Communicate proactively with vendors regarding delivery schedules and product availability. Administrative & Internal Support • Support management with invoice generation, gratuity tracking, and event record maintenance. • Assist with internal communication to ensure staff scheduling, readiness, and accurate event briefings. • Contribute to post-event reporting , client feedback collection, and quality improvement initiatives. • Track event performance metrics, order volumes, and client satisfaction scores for review with leadership. Collaborate with the Marketing and Operations Teams for upcoming promotions, Sips of the Season events, or photography sessions for event materials. Qualifications: • Minimum 1–2 years of experience in hospitality, event coordination, or catering services. • Strong organizational skills with the ability to multitask, prioritize, and meet deadlines. • Excellent written and verbal communication skills; confident in client-facing settings. • Knowledge of POS systems (SpotOn preferred) and basic catering logistics is a plus. • Must hold an active Food Handler’s Certification and BASSET Certification (or obtain within 30 days of hire). • Ability to lift 25–40 lbs and stand for extended periods during events.
