The Executive Administrative Assistant performs high-level administrative and business support functions for a department, college, or executive office. This position ensures efficient operations by coordinating administrative, financial, and organizational tasks, serving as a liaison to internal and external stakeholders, and providing guidance on departmental policies and procedures.
Examples of Duties:
Assist in facilitating departmental policies and procedures.
Manage financial affairs, including monitoring expenditures, reimbursements, and funding sources.
Assist in preparing annual budgets and developing budgets for grant proposals.
Perform statistical research and prepare financial and operational reports.
Monitor property control and coordinate maintenance of equipment.
Serve as liaison to other administrative units and external contacts.
Supervise clerical and support staff as needed.
Coordinate timesheets, payroll disbursements, and personnel records for staff and faculty.
Assist in planning meetings, special events, and departmental newsletters.
Support faculty recruitment processes and hiring of administrative staff.
Ensure compliance with University policies and procedures.
Perform other related duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge of University rules, policies, and procedures.
Proficiency in computer applications and information systems (e.g., PeopleSoft, MS Excel, Word, Access).
Knowledge of business and financial management practices.
Strong communication, organizational, and time management skills.
Ability to supervise, coordinate, and direct the work of others.
Minimum Qualifications:
Bachelor’s degree and a minimum of two years of administrative experience, or a combination of education and related experience.
