    The Executive Administrative Assistant provides high-level administrative support to executives and senior management, managing schedules, handling correspondence, organizing meetings, and maintaining records. They ensure smooth operations and effective communication by performing a range of tasks. The ideal candidate anticipates needs, takes proactive measures to resolve challenges, and maintains discretion when handling confidential and time-sensitive material.

    Key Responsibilities:

    Schedule Management: Managing and maintaining executives' schedules, including appointments, meetings, and travel arrangements.

    Correspondence: Handling written communication, including emails, letters, and reports, for the executive. Will also provide notary service functions for contracts and legal documents.

    Meeting Organization: Organizing and coordinating meetings, including setting up agendas, preparing materials, and managing logistics.

    Record Keeping: Maintaining accurate and organized records, including files, documents, and databases. Paralegal experience is desired.

    Communication Facilitation: Serving as a primary point of contact for the executives, handling phone calls, emails, and other communication.

    Research and Analysis: Conducting research and preparing reports as needed, including financial statements and other data. Accounting experience and financial spreadsheets experience is highly desired. Additionally experience in real estate or associated process experience is sought.

    Office Management: Assisting with general office duties, such as ordering supplies, managing travel arrangements, and handling visitor inquiries.

    Strategic Support: May assist with strategic initiatives and projects, providing administrative support and gathering information.

    Position requirements:

    Ability to adhere to, and always, the confidential nature of the work and information in both offices.

    Preferred minimum of 4 year’s experience at the executive level

    Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and other desktop applications.

    Excellent writing and editing skills

    Maintains a professional image and presence.

    Strong organizational and time management skills to support the company executive team.

    Experience in real estate transactions and contracts is desired.

    Limited day travel may be required to 10% of the time for special events such as Board meetings and other internal events.
