    About the Role:

    Florida Doctors Group is looking for a highly motivated and enthusiastic Administrative Assistant to support our CEO/President. This is an exciting opportunity to work closely with our CEO, assisting with meetings, taking notes, driving to appointments, and representing him in marketing meetings. The CEO will provide training, but we are looking for someone who is driven, organized, responsible, and enthusiastic about contributing to the success of the organization.

    As the Administrative Assistant to the CEO, you will play a key role in ensuring smooth operations, helping with scheduling, preparing for meetings, and managing various administrative tasks to support the CEO in his day-to-day activities. You will be the go-to person for all administrative functions, ensuring that the CEO’s time is well-managed and productive.

    Key Responsibilities:

    Support the CEO/President in all aspects of day-to-day operations

    Answer phone calls, route them to the appropriate department, and handle inquiries as needed

    Schedule appointments and manage the CEO’s calendar to maximize productivity

    Organize meetings, including preparing agendas, taking accurate minutes, and following up on action items

    Write and send emails, memos, and letters, ensuring clear and professional communication

    Assist in marketing meetings and represent the CEO as needed

    Drive the CEO to various meetings and appointments when necessary

    Contribute to company reports and maintain organized files and records

    Develop, update, and maintain office procedures to ensure efficiency and accuracy in operations

    Qualifications:

    High school diploma/GED required, Associate’s degree or administrative training preferred

    Previous experience as an Administrative Assistant or in a similar role

    Familiarity with standard office equipment such as printers, fax machines, etc.

    Proficient in Microsoft Word, Outlook, and PowerPoint

    Excellent organizational and time management skills with the ability to prioritize and handle multiple tasks efficiently

    Strong written and verbal communication skills

    Friendly and approachable demeanor, with a strong sense of professionalism

    Must be available and flexible to assist the CEO with urgent tasks or changing priorities

    Must have a reliable vehicle and valid driver’s license for travel to meetings
