We’re looking for a professional, proactive, highly organized executive assistant to play a key role in our growing team. You’ll be responsible for assisting our high-level executive with administrative duties such as answering phone calls, managing our office filing system, making travel arrangements, and overseeing day-to-day operations. Responsibilities: • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive • Take care of office management duties such as ordering filing systems and keeping track of office equipment and supplies • Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings • Serve as the main contact for high-level executive • Coordinate client communication, including intake calls, follow‑ups, and appointment reminders, and maintain a warm, organized client experience. • Prepare and organize case files—both digital and physical—ensuring documents are complete, properly labeled, and easily accessible. • Handle confidential information with compassion, discretion, professionalism, and strict adherence to privacy and ethical standards. • Support estate‑planning processes by preparing client packets, organizing asset information, and coordinating signing appointments. Qualifications: • Must have graduated high school or received an equivalent certificate of completion • Strong organizational skills, communication skills, time management skills, and interpersonal skills • Must be comfortable using Microsoft Office • Experience handling confidential information and adhering to strict deadlines • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar Compensation: $25 - $28 hourly
