Position Overview:
We are seeking a dedicated and experienced Executive Administrative Assistant. The ideal candidate is highly organized, empathetic, and discreet, with a strong ability to manage sensitive information and multitask in a fast-paced environment. They serve as a reliable point of contact for both staff and clients, contributing to a safe, supportive, and efficient care setting.
Key Responsibilities:
Executive Support: Manage calendars, coordinate meetings, arrange travel, manage expenses, and provide comprehensive support to executive leadership.
Communication: Draft, edit, and manage internal and external communications, reports, and correspondence.
Meeting Coordination: Prepare agendas, record meeting minutes, and track follow-ups on key action items.
Project & Office Management: Assist in overseeing special projects and daily office operations, including vendor relationships and supply/inventory management.
Inventory Management: Monitor and maintain office inventory levels; coordinate purchasing and restocking; manage relationships with suppliers.
Payroll Processing: Oversee and process payroll; ensure accurate and timely payment of staff and contractors.
Team Supervision: Lead and supervise other administrative staff, providing guidance, setting expectations, and supporting team performance.
Liaison Duties: Serve as a communication hub between executives and both internal departments and external stakeholders.
Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism.
Qualifications:
3+ years of experience as an executive assistant, office manager, or similar administrative leadership role.
Proven experience in payroll processing and inventory management.
Strong leadership and people-management skills.
Exceptional organizational, multitasking, and problem-solving abilities.
Excellent written and verbal communication.
Proficiency in tools like Google Workspace, payroll software (e.g., ADP, Heartland), and inventory tracking systems.
High level of discretion, professionalism, and emotional intelligence.
Bachelor’s degree preferred; equivalent experience will be considered.
