Position Overview
The Executive Administrator serves as a strategic partner to executive leadership and the Service Center, delivering disciplined, high-level administrative execution that creates clarity, structure, and operational efficiency.
We are seeking an experienced executive support professional with exceptional organizational discipline, executive presence, and advanced mastery of Microsoft Office 365 (Word, PowerPoint, Outlook, and Teams). This individual produces polished, executive-ready documents and presentations with precision formatting, manages complex and highly structured calendars and travel itineraries, and ensures information is accurate, consistent, and professionally presented.
This role removes friction from the executive workflow—ensuring meetings are purposeful, agendas are structured, materials are prepared in advance, and follow-through is disciplined. The Executive Administrator frequently represents the executive office and must demonstrate mature judgment, discretion, and clear professional communication.
In addition, this position oversees office operations and environment standards—maintaining an orderly, well-run workspace that reflects excellence and supports productivity.
This role requires a servant-leader mindset—someone who takes ownership, anticipates needs, protects confidentiality, and consistently executes at a high level.
Key Responsibilities
Executive Support
• Manage complex executive calendars, priorities, and scheduling
• Coordinate multi-location travel (flights, lodging, transportation, customer meals)
• Prepare executive-level presentations, reports, and documents with formatting excellence
• Develop structured agendas and ensure disciplined meeting follow-through
• Anticipate needs and proactively manage competing priorities
• Ability to plan off-site events anywhere from 10-60 people. Including sourcing options for hotels, travel, etc. and making sure necessary equipment (monitors, sound, etc) is available as needed.
Communication & Coordination
• Serve as a professional representative of the executive office
• Coordinate across internal teams and external partners
• Ensure accurate, consistent, and well-organized information flow
Office Operations
• Oversee office supply inventory, ordering, and vendor coordination
• Maintain conference rooms and shared spaces to professional standards
• Ensure an orderly, structured, and productive office environment
Systems & Confidentiality
• Maintain executive calendars, shared files, and administrative systems
• Protect confidential information with absolute discretion
• Adhere strictly to company policies, including expense and credit card compliance
Qualifications
• 5+ years of executive-level administrative support experience preferred
• Advanced proficiency in Microsoft Office 365 (Word, PowerPoint, Outlook, Teams)
• Demonstrated ability to produce polished executive presentations and documents
• Experience managing complex calendars and executive travel logistics
• Travel is required for this position and is limited to company-planned events, approximately 4–5 times per year.
• Exceptional written and verbal communication skills
• Strong organizational discipline and attention to detail
• High degree of professionalism, discretion, and sound judgment
• Valid driver's license
• Ability to pass a drug test and background check
Work Environment
• On-site position located in an industrial service center environment
• Standard business hours aligned with Service Center operations
• Occasional extended hours may be required based on business needs
• Not eligible for remote or hybrid work
