Executive Administrative Assistant
Job Description
We are seeking a highly skilled and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive leadership team. This individual will play a pivotal role in ensuring the efficiency and effectiveness of executive operations, handling complex scheduling, communications, and sensitive information with professionalism and discretion.
The ideal candidate will bring a strong blend of strategic thinking, operational excellence, and a proactive mindset. Exceptional organizational abilities, superior communication skills, and a polished, professional demeanor are essential.
Key Responsibilities
Executive Support: Manage and maintain complex calendars, coordinate meetings, and handle logistics for travel arrangements, conferences, and events.
Communication Management: Act as a liaison between the executive and internal/external stakeholders; manage and draft correspondence, presentations, and reports.
Project Coordination: Assist with tracking key projects and initiatives, ensuring timely follow-ups and deliverables.
Document Management: Prepare, proofread, and edit sensitive documents with the utmost attention to detail.
Meeting Preparation: Coordinate agendas, take accurate meeting minutes, and ensure action items are followed up and completed.
Confidentiality: Handle confidential and sensitive information with integrity and discretion at all times.
Office Operations: Support office management tasks as needed, including vendor coordination, supply management, and special administrative projects.
Qualifications
Bachelor’s degree in Business Administration, Communications, or related field; advanced degree or certifications (e.g., CAP, PMP) a plus.
5+ years of experience in an executive assistant or senior administrative support role, preferably in a fast-paced, high-growth environment.
Proven track record of managing multiple priorities with precision and grace under pressure.
Exceptional attention to detail and accuracy in all tasks.
High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Google Workspace, Slack, Zoom).
Outstanding written and verbal communication skills.
Ability to anticipate needs, think critically, and offer solutions proactively.
Strong interpersonal skills and the ability to build trusted relationships at all levels of the organization.
