We are seeking an experienced, bilingual Executive Administrative Assistant to support our Sales Department and Fleet Coordination operations. This dynamic role involves managing day-to-day administrative tasks, coordinating fleet and sales documentation, handling notary responsibilities, and maintaining detailed inventory and financial records.
Provide high-level administrative support to the Sales Department and Fleet Manager
Coordinate and maintain fleet documentation, including titles, registrations, and maintenance records
Prepare and notarize Bill of Sale documents
Conduct and track inventory for fleet and equipment
Manage and update records related to sales, fleet, and depreciation schedules
Perform cold calling to potential clients and vendors as needed
Support sales team with lead generation, follow-up, and appointment setting
Perform data entry using Excel and Word (strong proficiency required)
Maintain accurate logs and digital filing systems
Handle bilingual communication (English/Spanish) with internal and external parties
Bilingual in English and Spanish – required
2+ years of administrative or coordinator experience (preferably in sales or fleet management)
Strong Excel and Word skills (including spreadsheets, formulas, formatting)
Knowledge of notary processes and ability to notarize documents (preferred or willing to become certified)
Familiarity with depreciation and inventory tracking
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Comfortable with occasional cold calling
