Universal Rehabilitation Services is seeking a highly organized and dependable Executive Administrative Assistant to provide direct support to our CEO. This position is ideal for someone who enjoys managing multiple priorities, maintaining organization, and helping executives stay focused on strategic goals.
Position Summary
The Executive Administrative Assistant serves as a key support person for the CEO, assisting with administrative operations, accounting support, communication management, scheduling, and special projects. The ideal candidate is detail-oriented, proactive, professional, and comfortable working in both digital and office environments.
Responsibilities
Manage the CEO's calendar, appointments, and meetings
Coordinate travel arrangements and event planning as needed
Draft correspondence, reports, forms, and presentations
Organize and maintain digital and physical filing systems
Screen and prioritize emails, phone calls, and messages
Assist with special projects and research
Support office operations and administrative processes
Prepare reports and spreadsheets using Microsoft Office and Google Workspace
Assist with QuickBooks data entry, invoicing, accounts payable, and basic bookkeeping functions
Maintain confidential business and personnel information
Coordinate communication between departments, clients, and vendors
Qualifications
Minimum 2 years of administrative assistant, executive assistant, office manager, or related experience
Proficiency with QuickBooks
Strong computer skills, including:
Microsoft Office (Word, Excel, Outlook)
PDF management and electronic document systems
Digital filing and cloud-based applications
Excellent written and verbal communication skills
Strong organizational and time management abilities
Ability to handle confidential information professionally
Self-motivated with strong attention to detail
Preferred Qualifications
Healthcare experience preferred but not required
Experience supporting executives or business owners
Familiarity with payroll, invoicing, and bookkeeping processes
Experience with CRM, scheduling, or project management software
