We are seeking an experienced and highly organized Administrative Manager to support our executive team and oversee key HR functions. This role is essential for ensuring operational excellence and providing top-tier administrative support, all while maintaining high levels of confidentiality and professionalism.
Minimum Requirements:
- Minimum of 5 years in an administrative role reporting directly to the C-Suite in a manufacturing environment
- Excellent written and verbal communication skills
- Strong time-management and organizational skills with the ability to coordinate multiple concurrent projects
- Proficiency in Microsoft Excel and office productivity tools
- Demonstrated ability to maintain confidentiality
- Experience managing budgets and expenses
- Experience developing internal processes and filing systems
- Must agree to undergo a background check and obtain a secret clearance
- Familiarity with benefits administration and HR systems
- Prior experience supporting recruitment and onboarding processes
Preferred Requirements:
- Experience in a defense or technology company
- Bachelor's degree in Administrative, HR, or other related area
Responsibilities:
- Develop and maintain internal processes for HR and administrative records
- Manage complex executive calendars, including meetings, travel, and appointment scheduling
- Coordinate and prioritize meeting requests, resolving scheduling conflicts
- Prepare and distribute executive schedules (daily, weekly, monthly)
- Organize executive meetings, prepare agendas, and follow up on action items
- Write and maintain meeting summaries and discussion records
- Assist with recruitment: job postings, resume screening, interview scheduling, and candidate communications
- Support onboarding and offboarding, including documentation compliance
- Maintain up-to-date employee records and legal documents
- Track employee attendance and leave, and prepare related reports
- Coordinate benefits administration and liaise with providers
- Respond to employee inquiries on HR policies, procedures, and benefits
- Manage travel logistics, including accommodations, transportation, and meals
- Provide general office and administrative support: documentation, spreadsheets, mailings, and database maintenance
- Uphold confidentiality and professionalism in handling sensitive information
- Perform other administrative duties as assigned
