    The Executive Administrator to the CEO is a critical role in supporting the Chief Executive Officer of the credit union. This position is responsible for providing high-level administrative support, managing the day-to-day operations of the CEO's office, ensuring efficient communication, and supporting board governance activities. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle sensitive information with the utmost discretion. ADA Requirements Physical Requirements • Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing/descending stairs in an emergency situation. Must be able to operate routine office equipment, including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off-site whenever required or requested by management. Must be capable of regular, reliable, and timely attendance. Working Conditions • Must be able to routinely perform work indoors in a climate-controlled shared work area with minimal noise. Mental and/or Emotional Requirements • Must be able to perform job functions independently or with limited supervision and work effectively either on their own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand computer basics. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization, and demonstrate the highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines/requirements for extreme accuracy and quality, and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising the highest level of discretion on both internal and external confidential matters. Responsibilities: • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. • Serve as the primary point of contact between the CEO and internal/external stakeholders. • Prepare, review, and edit correspondence, reports, presentations, and other executive-level documents. • Coordinate executive meetings, ensuring agenda preparation, documentation, and follow-ups. • Back up/Cross Train on Board Governance and Compliance. • Coordinate all board and committee meetings, including scheduling, agenda preparation, and logistics. • Prepare and distribute board meeting materials, including reports, minutes, and presentations. • Maintain accurate board records, ensuring compliance with governance policies and regulatory requirements. • Serve as the liaison between the CEO, board members, and senior leadership, ensuring timely communication. • Assist with board elections, onboarding, and training of new board members. • Manage board portal access and document repository, ensuring up-to-date governance records. • Ensure adherence to bylaws, corporate policies, and credit union regulations related to board governance. • Maintain organized filing systems (digital and physical) for executive and board documents. • Plan and execute executive and staff meeting events, conferences, and retreats. • Liaise with external vendors, legal counsel, and other professional service providers as needed. • Provide backup support to other executive leaders as necessary. • Must comply with applicable laws and regulations, including but not limited to the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Qualifications: Experience • Minimum of 5 years of executive administrative experience, preferably in a financial institution or credit union. Education/Certifications/Licenses • Bachelor’s degree in business administration, Management, or a related field preferred. Interpersonal Skills • A significant level of trust, credibility, and diplomacy is required. In-depth dialogue, conversations, and explanations with customers, direct and indirect reports, and outside vendors can be of a sensitive and/or highly confidential nature. • Communications may involve motivating, influencing, educating, and/or advising others on matters of significance. Typically includes subject matter experts as well as first-level to middle managers. Other Skills • Strong knowledge of board governance practices, corporate compliance, and executive-level support. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and board management software. • Excellent verbal and written communication skills. • Strong organizational skills with the ability to manage multiple priorities and deadlines. • High level of professionalism, discretion, and ability to handle confidential information. • Strong problem-solving skills and the ability to work independently. Compensation: $35 hourly
