    Overview

    UGT is looking for a Senior Program Operations Coordinator designed to seamlessly integrate site-level project execution with factory-level production and logistics operations. Our solution bridges operational silos by providing real-time coordination, information management, and closed-loop communication across all stakeholders.

    This is a role that requires operational leadership, analytical thinking, and the ability to work across construction sites, factory operations, and program leadership. The ideal candidate will bring experience supporting large-scale logistics or infrastructure programs and will thrive in a hybrid work environment that includes remote, onsite (Chicago), and occasional on-premises client support.

    Key Responsibilities

    Program-Level Administrative and Coordination Services

    • Serve as the primary operational liaison working under the direction of the Lead Program Manager.
    • Lead coordination of project activities between construction sites, factory operations, and program leadership.
    • Manage daily operations of equipment logistics, maintaining accurate and validated tracking tools.
    • Proactively identify and surface risks, dependencies, and process improvements to program leadership.
    • Data Management and Reporting.
    • Own and manage equipment tracking tools (Excel-based or equivalent).
    • Collect, verify, and update project data daily from Project Managers, factory teams, and other stakeholders.
    • Generate program reports and dashboards to support leadership decision-making.
    • Analyze data trends to support forecasting, resource planning, and issue resolution.
    • Communication and Stakeholder Engagement
    • Drive closed-loop communication cycles across all program stakeholders.
    • Manage the collection, routing, and tracking of Authorization to Ship (A2S) forms and related documentation.
    • Coordinate and document stakeholder meetings, action items, and program updates.
    • Represent UGT and support the Program Manager in cross-functional forums and high-visibility meetings.
    • Field and Onsite Support
    • Conduct periodic site visits to construction or client sites to validate field data and resolve logistics issues.
    • Provide onsite support in Chicago 2–3 days per week or as requested.
    • Lead onsite coordination activities in partnership with factory, site, and program teams.

    Qualifications

    • 5+ years of experience in program operations, project management support, or program coordination roles.
    • Background supporting complex programs involving equipment logistics, construction operations, datacenters, supply chain, or related infrastructure projects preferred.
    • Advanced proficiency in Excel; experience with data visualization and reporting tools such as PowerBI and SharePoint.
    • Strong leadership presence with the ability to represent program leadership and drive multi-stakeholder coordination.
    • Excellent written and verbal communication skills; ability to synthesize and present complex information clearly.
    • Flexible and adaptable to changing program needs; able to manage multiple priorities in a fast-paced environment.
    • Willingness and ability to work in a hybrid model, including remote, onsite in Chicago, and on-premises at construction or client sites as required.
    • U.S. work authorization required.
