Ready to join the exciting world of real estate? We’re seeking a highly organized and detail-oriented Executive Assistant to support a top-producing real estate team. This role combines administrative excellence, client service, marketing creativity, and project management. This person will be a face for our company, helping to represent our buyers and sellers through the full transaction process. You’ll be at the center of our business operations - keeping transactions moving smoothly, ensuring marketing campaigns are executed flawlessly, and creating a world-class experience for clients. Compensation: • Salary Range: $70,000 - $80,000 • Paid Time Off (PTO) • Bonus Opportunities • Growth Potential This is a full-time, in-office position in Bellevue, WA! Applicants must be willing to work in the office 5 days a week. Responsibilities: This person's primary responsibilities include, but are not limited to: • Manage team calendars (appointments, open houses, project timelines, client anniversaries). • Monitor individual and team email for important and time-sensitive matters. • Prepare and manage real estate contracts and listing documents. • Coordinate DocuSign signatures and ensure NWMLS compliance. • Track transaction timelines and documentation. Marketing Systems • Maintain and update Compass CRM (client grouping, tagging, activity tracking). • Create and manage marketing materials (brochures, flyers, buyer packets, feature sheets). • Execute digital campaigns (email, social media, ads) and track performance. • Provide insights and home performance reports for clients. • Social Media & Website Management. • Post weekly content and property/project updates. • Film/edit walkthrough videos and engage with accounts to boost visibility. • Update website photos and listing details. • Pull analytics and engagement reports. • Plan and support client and community events. Project & Vendor Management • Coordinate vendors, contractors, and inspections. • Track timelines, manage repairs, and perform “punch walks” to ensure quality. • Order signage, place lockboxes, and manage keys. • Prepare listing documents and input properties into NWMLS. • Coordinate staging, photography, and marketing collateral. • Set up homes for showings and open houses to ensure a welcoming experience. Client Relationship Management • Maintain client communications via calls, texts, and emails. • Send anniversary cards, closing gifts, and coordinate client appreciation events. • Assist with market analysis and provide timely updates to clients. • Oversee contract-to-close process, working with title, escrow, vendors, and coordinators. • Send receipts/payouts and prepare closing gifts. • Handle problem-solving and crisis management when needed. • The bottom line: you’re responsible for anything and everything that this Agent could need to do, and helping them get it done. Qualifications: • At least 2 years+ experience in supporting an executive at a high level. • Real estate industry experience is a plus, but not required. • Possesses a proactive attitude: seeks opportunities to support the team and the business by consistently asking, "How else can I assist?" • Able and willing to work both evenings and weekends as needed. • Strong organizational and time management skills. • Keen attention to detail and accuracy. • Marketing and design eye (print & digital). • Problem-solving mindset with the ability to manage multiple projects at once. • Excellent written and verbal communication skills. • Preferred Tools & Systems Experience: Google Suite, DocuSign, NWMLS, Compass CRM, Canva / Adobe Creative Suite, Apple OS. Compensation: $70,000 - $80,000 yearly
