About the Role: Our Allstate Insurance agency is looking for a sharp, tech-savvy, highly organized Executive Assistant to support the Agency Owner directly. This is not a basic receptionist role — you will be the owner’s go-to person for keeping the office running smoothly, managing priorities, supporting customer operations, and helping streamline workflows.
If you’re the type who loves having your hands in many moving parts, enjoys solving problems, and can keep someone’s day organized, this role is for you.
You’ll get hands-on exposure to the insurance industry and work directly with the agency owner. You’ll learn the inner workings of claims, customer retention, operations, and agency growth — while playing a critical part in keeping the business organized and moving forward.
This is a role for someone who wants responsibility, variety, and the chance to grow into a more advanced position over time. To start with this role is part-time with transition to a full-time position within a 12-18 month period.
What You’ll Do
Serve as the Executive Assistant to the Agency Owner
Manage the owner’s calendar, reminders, daily schedule, and follow-ups
Handle claims support (intake, updates, documentation — no license required)
Support retention efforts: renewal follow-ups, cancellation audits, and client outreach
Provide customer service support: payments, documentation, ID cards, updates
Maintain CRM accuracy and digital client files
Run research tasks (process improvements, market info, vendor contacts, etc.)
Handle chat support with carriers and vendors to resolve client issues
Keep the office organized, stocked, and running efficiently
Over time, assist producers with administrative tasks as the agency grows
What We’re Looking For
Strong administrative or executive assistant background
Tech-savvy; quick to learn software and insurance systems
Excellent communication and organization skills
Detail-oriented, reliable, and calm under pressure
Able to manage multiple tasks and keep the owner on track
Professional, polished, and dependable
Must be in-office with reliable transportation
Bonus Points
Experience in insurance, financial services, or professional offices
Bilingual skills
Natural problem-solver who enjoys taking initiative
