A leading global law firm with strong San Francisco, CA roots is seeking a high-performing Executive Assistant to provide senior-level support to three corporate partners. This position is ideal for a proactive, detail-oriented professional with experience supporting senior law firm partners or C-suite executives. The role requires excellent judgment, strong client service skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Administrative & Team Support
- Manage complex calendars and meeting schedules, resolve conflicts, and send reminders.
- Provide comprehensive travel planning, including itineraries and timely expense reports.
- Support document production, electronic filing, and ensure technology proficiency.
- Coordinate with billing to edit pro formas and generate timely client bills.
- Track and enter time entries with attention to client billing preferences.
- Notarize documents as needed and provide back-up support to other team assistants.
- Foster a collaborative working environment and improve team processes.
Business Development
- Maintain and update CRM/IA database; research contacts and track business activity.
- Support client engagement by scheduling calls, meetings, and assisting with small events and gift selection.
- Prepare materials for pitches, meetings, and proposals; collaborate with the marketing team.
- Build strong relationships with clients and their administrative contacts.
Candidate Qualifications
- 5+ years supporting senior-level law firm partners, practice heads, or C-suite executives.
- Exceptional communication, organizational, and interpersonal skills.
- Highly proficient in Microsoft Word, Excel, and PowerPoint.
- Ability to anticipate needs, think ahead, and handle multiple high-priority tasks.
- Demonstrated discretion in handling confidential information.
- Proven ability to meet deadlines in a fast-paced, high-pressure environment.
- Strong judgment and problem-solving skills.
