We are seeking a highly professional and experienced Executive Assistant to join a dynamic team in Santa Monica, CA. This person should have experience working in a fast-paced office environment providing dedicated support to CEO and Chief of Staff while also performing additional administrative duties.
Given the dynamic nature of the finance landscape, we rely on employees to be flexible and detail-oriented while maintaining the confidentiality of high-level systems and operations. Our ideal candidate will have the ability to exercise good judgement in a variety of situations, possess strong administrative and organizational skills as well as the ability to maintain balance among multiple priorities.
This person is expected to be fully in-office.
Qualifications
3- 5+ years of administrative experience, preferably supporting C-level executives in high-growth environments.
Demonstrated proficiency with Microsoft 365 Office, specifically Outlook, Word, Teams, PowerPoint, and Excel. Experience with Adobe and an aptitude for learning new systems a plus.
Strong organizational and multitasking skills including heavy scheduling of calls/meetings and managing email/calendars.
Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
Excellent verbal and written communication skills.
High level of discretion, professionalism, and confidentiality.
Flexible hours as dictated by needs of business for projects and meetings.
Experience in recruiting, onboarding, or HR functions is a plus.
Prior experience in financial services industry is a plus.
Bachelor’s degree preferred.
Responsibilities
Manage CEO’s constantly shifting multiple calendars and correspondence to optimize his schedule and insert priority meetings.
Serve as a point of contact for internal and external communications, filtering inquiries and managing messages on behalf of the CEO.
Prepare briefings, agendas, and materials for meetings, take detailed notes, and ensure timely follow-up on action items.
Organize and maintain digital files, presentations, and confidential documents for easy access.
Act as an office manager when required, ensuring seamless operations within the executive office.
Assist in the creation of marketing materials, press releases, and related documents, collaborating with third-party entities as needed.
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or executives as needed.
