Job Description
Job Title: Executive Assistant
PURPOSE:
An Executive Assistant to a CEO, also known as a C-level Executive Assistant, supports the CEO and other high-ranking executives in the C-suite. Executive Assistants often handle strategic and business-related tasks.Executive Assistants are required to have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on Executive Assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
DUTIES AND RESPONSIBILITIES
Manage the CEO's calendar, Scheduling meetings, conference calls, and travel arrangements.
Prepare and edit documents, Correspondence, reports, presentations, and briefs.
Coordinate of projects, researching and gathering information, and preparing and submitting expense reports.
Monitor, filter and respond to emails and phone calls, and act as a liaison between the CEO and other departments.
Respond to all client and prospect inquiries in a polite and timely manner.
Update and maintain up to date information on company CRMs.
Inform the CEO of daily meetings, scheduled activities, and deadlines.
Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
Maintain professionalism and strict confidentiality with all materials.
Accurately capture and document the discussions, decisions, and action items from meetings.
Ensure follow-up with the team to confirm the timely completion of tasks by the established deadlines.
Analyze and interpret written documents for the CEO.
JOB QUALIFICATIONS:
This position requires a person who must be able to work under stress and deal with the public effectively in a professional manner.
2-3 years of relevant experience in an office environment.
Able to type minimum 35 words per minute (minimum).
Result driven, persistent - able to self-direct and work independently showing initiative, while seeking guidance when appropriate.
Ability to work with a team.
Comfortable multitasking and prioritizing tasks without guidance.
Time management expertise to ensure tasks are completed in a timely manner throughout the day.
Organizational skills to keep an accurate record of documentation.
Demonstrated ability to read, write, and speak English and Spanish fluently.
Proficient technology usage skills.
Honest and ethical team player.
Sense of urgency with the ability to multitask under pressure.
Excellent communication skills, both written and verbal.
Computer knowledge such as powerpoint, database and spreadsheets is required.
Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive.
Strong attendance history of punctuality.
High School diploma or General Education Degree (GED) required.
Ability to pay close attention to detail and be flexible in a fast paced and growing organization.
Proactive problem solver with exceptional communication skills and meticulous attention for details.
