Position Summary:
We’re seeking a U.S.-based Executive Assistant with strong Customer Service and Bookkeeping experience to support our executive leadership team and be the first point of contact for all inbound leads across our portfolio of products and services. This is a dynamic role for someone who loves working behind the scenes to make things run smoothly, all while interacting with customers in a friendly and professional way.
What You'll Do:
Provide daily administrative support to executive leadership (email management, calendar scheduling, research, meeting notes).
Manage and respond to inbound customer inquiries (phone, email, web forms, and live chat).
Route leads to appropriate internal team members and follow up to ensure timely responses.
Handle basic bookkeeping tasks, including invoicing, expense tracking, and reconciliations (experience with QuickBooks or similar software preferred).
Assist in maintaining CRM systems and ensure accurate data entry and lead tracking.
Help prepare reports, documents, and summaries for internal use.
Support ad-hoc operational tasks across different product lines as needed.
What We’re Looking For:
Based in the United States
3+ years of experience in a similar hybrid role (Executive Assistant, Customer Support, Bookkeeping)
Strong written and verbal communication skills
Comfortable with remote tools (Google Workspace, Zoom, Slack, CRM/Helpdesk systems, QuickBooks, etc.)
Highly organized with the ability to multitask and prioritize
A problem-solver who takes initiative and follows through
Friendly and professional with customers, even under pressure
Bonus If You Have:
Experience supporting startups or fast-growing companies
Familiarity with sales pipelines, lead routing, or marketing tools
Experience working across multiple brands or departments
