Docs In a Row is seeking an Executive Assistant to serve as a strategic partner and operational right hand in our high-volume real estate business. This is not just an administrative role. This is a leadership-through-service position. You will protect time, manage priorities, oversee transaction flow, and ensure operational excellence across the board. We are looking for someone highly organized, extremely detail-oriented, learning-based, and service-driven. Someone with grit. In this role, you will oversee real estate transactions from contract to close, manage executive-level priorities, coordinate communication across multiple stakeholders, and ensure every detail is executed with precision. Docs In a Row, led by Dawna Eshleman, supports real estate agents with contract-to-close services at scale. We value heart, integrity, accountability, excellence, and teamwork. You must be licensed or willing to obtain your real estate license (support provided). Talent, work ethic, and attitude matter most. This position works out of the Exton Keller Williams office Tuesday–Wednesday–Thursday, with remote work on Monday and Friday (non-negotiable). Compensation: Base Salary: $52,000–$56,160 Bonus Potential: $9,000–$10,000 (estimated based on approximately 180 closings) Paid Time Off included Responsibilities: • Enter and manage client and transaction data within internal systems, monitor all contract deadlines, and submit documentation to ensure broker compliance • Coordinate and manage the full lifecycle of buyer and seller transactions from signed agreement through closing • Schedule inspections, facilitate property access, organize repair work, and support negotiation of inspection-related matters • Review and confirm that all offers, counteroffers, and addenda are accurate, complete, and properly executed • Assist with escrow documentation and closely track all contractual deadlines to prevent delays • Maintain consistent communication with agents, clients, lenders, title partners, and vendors to drive smooth closings • Coordinate closing logistics, including final walkthroughs and key exchanges • Oversee post-closing follow-up and help manage client retention and repeat business systems • Proactively update lead agents and team members regarding risks, challenges, or timeline concerns • Contribute to improving team workflows, systems, and operational efficiencies • Manage inbound and outbound communications, track referrals and lead sources, and maintain organized records • Coordinate and manage calendars for multiple team members • Deliver exceptional client service by guiding clients through questions, resolving issues, and ensuring a seamless experience • Cultivate and manage vendor relationships while coordinating necessary services • Assist with office organization, logistics, and implementation of operational processes Qualifications: • Excellent written and verbal communication skills • Strong organizational skills with the ability to manage multiple projects simultaneously • Service-oriented mindset with resilience, drive, and commitment to high standards • Active real estate license or willingness to obtain one • Technologically proficient and quick to learn new platforms and systems • Ability to prioritize, multitask, and perform under pressure in a fast-paced environment • Strong analytical thinking and solution-oriented approach • Professional demeanor with the ability to confidently communicate with diverse personalities • Highly detail-focused with a preference for structured systems and task completion • Coachable, growth-minded, and eager to develop professionally • Self-motivated and capable of working independently while maintaining excellence • Proactive, team-first mentality with a willingness to step in wherever needed to ensure success Compensation: $52,000 – $56,160
