Executive Assistant to Law Firm Owner — Seeking a Rockstar Right Hand!

If you are interested in applying for this position, please read the entire job posting and follow all instructions explicitly. Applications that do not follow all instructions will not be considered.

Are you someone who thrives on keeping things running smoothly behind the scenes? Do your friends describe you as insanely organized, incredibly polished, and someone who always knows what needs to be done next — even before anyone else does? Are you loyal, honest, and just a little obsessed with personal development and productivity hacks? If so, keep reading.

We are a growing, fast-paced law firm (Douglass & Runger, PLLC) led by a busy, entrepreneurial owner who is looking for a true Executive Assistant — someone who doesn't just manage calendars and book travel, but who becomes an extension of the owner himself. You'll help keep the owner focused on the big picture by managing the small (but mighty) details.

This is a full-time, in-office position in Bartlett, TN. You must be available 40 hours per week and able to handle both personal and business tasks with professionalism and discretion.

This position is responsible for important work, including:

Managing the Owner's calendar and ensuring daily and weekly “calendar integrity” based on standing weekly themes (e.g., Marketing on Wednesdays, Production on Fridays, etc.)

Triaging emails (both personal and work) and ensuring the Owner sees only what truly matters

Attending key meetings and keeping the Owner accountable to follow-through

Booking travel and handling logistics for conferences, CLEs, and vacations

Coordinating office events, buying lunch for the team, and picking up special requests

Helping manage receipts, business reimbursements, and GAS call reminders

Organizing household projects, calendars, appointments, errands, and dry cleaning pickups

Acting as the “go-to” person for anything that helps the Owner stay focused on running and growing the firm

If these statements describe you, you may be our next Executive Assistant:

You are polished, confident, and could easily represent a high-level executive with poise and professionalism

You're highly organized, detail-oriented, and great at managing time — especially other people's time

You thrive when helping others succeed and are genuinely fulfilled by being the power behind the throne

You're tech-savvy (think Outlook, Teams, Zoom, Excel, Google Suite) and love improving systems

You believe no task is too big or too small if it helps your executive stay focused

You love overcommunicating and checking things off a to-do list

You are discreet, emotionally intelligent, and 100% trustworthy

We're not looking for average — we're looking for awesome. You'll need to be resourceful, responsive, and ready to dive into the chaos and bring calm to it. This isn't just a job — it's a role for someone who wants to become an integral part of something bigger and help a high-performance leader reach the next level.

We offer a competitive salary based on experience, health and disability insurance, PTO, and personal development opportunities.
