    Job Description

    Role Summary

    The Executive Assistant, Games & Digital Platforms will provide support to the SVP & GM, Games and Digital Platforms across a broad range of administrative responsibilities and organizational functions within the fast-paced arena of interactive video games, new technology, and digital content licensing. The ideal candidate has exemplary planning and time management skills, can organize and manage calendars, and keep scheduling operations running smoothly and efficiently. The successful candidate will also be comfortable with multitasking, be an excellent communicator, and bring a positive demeanor and a demonstrable curiosity and desire to learn to the role. In this position, the Executive Assistant will gain insights to various aspects of the Games & Digital Platforms business, including Business Development, Production, Creative, and Marketing, and will provide support to other team members within the group as needed.

    Hourly Salary range: $23.50 - $28.50

    ** Responsibilities Include:**

    • Manage Executive’s busy calendars and meeting schedules with a focus on prioritization and effective time management.
    • Professionally communicate with Executive Assistants and Administrative Assistants across UP&E, Universal Destinations & Experiences, and the broader Comcast NBCU organization for meeting planning/ scheduling and other administrative needs. Establish a strong network companywide, including with international UP&E offices.
    • Clearly and professionally communicate and correspond with key contacts at external partners.
    • Plan and book travel reservations as needed, including for partner visits, trade shows, and industry events. Work efficiently with internal booking tools and corporate travel resources to ensure cost-effective planning.
    • Complete, verify, and process T&E expense reports in an accurate and timely manner.
    • Manage group Purchasing Card for departmental supplies and events. Secure expenditure approvals and reconcile statements in system.
    • Coordinate agendas for key meetings such as Game Greenlights, New Opportunities Meeting, and Product Reviews with attention to detail and timeliness. Take and distribute notes from select meetings.
    • Handle groupwide planning and meeting schedules for key industry tradeshows including D.I.C.E., Game Developer’s Conference, Licensing Expo, and more.
    • Enter new business deals into RSG tracking system and new business discussion information into CRM system as requested.
    • Record PTO requests for the Games & Digital team.
    • Prepare sales and reference materials, securely watermark, and distribute to external partners.
    • Create ad-hoc industry research or trend presentations as requested.
    • Partner with HR representative to coordinate and deliver team communications.
    • Participate on departmental social committee, planning and implementing team building, charity, and holiday events.
    • Assist other departmental members with select administrative support as needed.

    ** Basic Requirements:**

    • 1+ years of professional work experience, ideally within a Games, Digital Content, Entertainment Studio, or Licensing environment
    • Ability to work in a fast-paced environment with shifting priorities and ability to multitask
    • Effective communication skills, including speaking, writing and active listening along with a professional demeanor
    • Collaborative, creative, and resourceful self-starter with strong problem-solving skills, follow-through and the ability to work independently
    • Exceptional organizational skills and highly detail-oriented
    • Ability to take accurate notes and distribute clear summaries
    • Openness to learning new expense reporting, travel booking, contract management, and asset repository systems and software
    • Proficient in Keynote, PowerPoint, Teams, OneDrive/SharePoint, Outlook, Excel, and Word
    • Knowledge of Acrobat, Photoshop, Illustrator a plus

    ** Eligibility Requirements**

    • Must have unrestricted work authorization to work in the United States
    • Perform other related duties as assigned to support the needs of the team
    • Must be willing to work in Universal City, CA
    • Hybrid : This position has been designated as hybrid, generally contributing from the office a minimum of three days per week
