As a small business, we are seeking a remarkable and talented Executive Assistant to support our CEO in a fully remote capacity. As Executive Assistant, you will thrive in fast-paced environments where flexibility, discretion, and a proactive mindset are key. With a whatever-it-takes approach, you will ensure smooth operations, consistent follow-up, and actionable reporting on outcomes.
This role requires not only exceptional organizational and communication skills but also the ability to anticipate needs, follow through relentlessly, and maintain the highest level of confidentiality and trust.
Qualifications
Minimum 2 years of related experience as a high-level administrative or Senior Executive Assistant
Fully remote; must be comfortable working across different time zones
Strong attention to detail, reliability, punctuality, and honesty
Exceptional follow-up and outcome reporting skills
Flexible and able to accommodate spontaneous changes to routines and plans
Positive attitude, team player, personable, and professional
Ability to thrive in high-pressure, fast-paced environments
Proficient in Microsoft Office (Word, Outlook, Excel) and adept with technology
Strong emotional maturity, discretion, and loyalty
Long-term commitment and ability to pass background, credit, and reference checks
Responsibilities
Serve as the right-hand partner to the CEO and first point of contact
Exercise a high degree of integrity, tact, discretion, and judgment
Proactively resolve issues and manage challenges before escalating to the CEO
Act as a barometer, staying ahead of organizational issues and keeping the CEO informed
Ensure consistent follow-up on projects, tasks, and communications, and report outcomes with clarity
Build strong relationships with C-Level Executives, staff, vendors, and external partners
Support all C-Level Executives as needed and guide new members of the leadership team
Run and analyze reports for various departments, providing recommendations to the CEO
Attend weekly management meetings, draft minutes, and track follow-up actions to completion
Coordinate with managers on business strategies, development, and acquisitions
Organize corporate-sponsored functions, employee recognition events, and community outreach
Arrange complex travel plans, itineraries, and agendas
Handle correspondence, email, and communication with precision, flagging urgent matters
Maintain strict confidentiality and demonstrate grace under pressure
