Executive Assistant
Position Overview
The Executive Assistant is a senior-level, high-impact role supporting the CEO of a rapidly growing organization. This position serves as the CEO’s operational right hand and is far more than a traditional administrative role. The ideal candidate is an experienced professional who anticipates needs, manages complexity across multiple initiatives and business entities, exercises strong judgment, and operates with complete discretion.
This role is embedded in the daily rhythm of a founder-CEO who is balancing core operations, strategic growth, new ventures, leadership development, and a demanding schedule. Success requires someone who thrives in a fast-paced environment, takes full ownership of outcomes, and can seamlessly move between strategic support and detailed execution.
Responsibilities
Executive and Calendar Management
- Own and manage the CEO’s complex, high-volume calendar across multiple business entities, boards, and professional commitments
- Anticipate scheduling conflicts, preparation needs, and travel requirements, resolving issues proactively
- Serve as gatekeeper for the CEO’s time, ensuring meetings are purposeful and aligned with priorities
- Prepare daily briefings, agendas, and background materials so the CEO is fully prepared for every engagement
Communication and Stakeholder Support
- Draft, edit, and manage correspondence on behalf of the CEO with internal leaders, board members, investors, vendors, and external partners
- Manage the CEO’s email inbox by triaging messages, flagging priorities, drafting responses, and ensuring follow-through
- Act as a liaison between the CEO and internal teams, maintaining strong working relationships across the organization
- Handle sensitive and confidential information with the highest level of discretion
Travel and Logistics
- Coordinate all travel flights, ground transportation, lodging, and detailed itineraries
- Manage logistics for leadership offsites, executive retreats, client meetings, and industry events
- Ensure seamless travel experiences and professional representation at all engagements
Project and Strategic Support
- Track action items from executive meetings and ensure accountability and timely follow-up
- Assist with preparation of presentations, board materials, financial summaries, and strategic documents
- Conduct research and compile data to support executive decision-making
Office of the CEO Operations
- Manage expense reporting and reimbursement processes
- Maintain organized digital and physical filing systems for executive records and contracts
- Identify opportunities to improve processes, tools, and systems that enhance executive effectiveness
Qualifications
- Minimum of 5 years supporting C-suite executives, ideally a CEO or founder
- Experience working in high-growth, fast-moving environments
- Exceptional organizational skills with the ability to manage competing priorities and shifting timelines
- Strong written and verbal communication skills with the ability to represent the CEO professionally
- Proficiency in Microsoft Office, Google Workspace, and project management tools
- High emotional intelligence, sound judgment, and professionalism
- Willingness to operate outside standard business hours as needed
- Bachelor’s degree preferred but not required
- Supporting a CEO through a growth or scaling phase preferred
