P osition Summary:
We are seeking a highly polished, proactive, and strategic Executive Assistant to the CEO to provide high-level administrative and operational support. This role serves as a trusted partner to the CEO, managing priorities, facilitating communication, and ensuring seamless execution of business activities.
The ideal candidate operates with discretion, anticipates needs, and thrives in a fast-paced, executive-level environment with significant exposure to senior leadership, board members, and external stakeholders.
Key Responsibilities:
Provide administrative support to the CEO, including managing an extremely dynamic and complex calendar
Anticipate scheduling conflicts and proactively prioritize meetings and commitments aligned with business priorities
Act as a gatekeeper and liaison, managing incoming communications and requests
Coordinate domestic and international travel in partnership with a travel agency, including flights, accommodations, ground transportation, and detailed itineraries
Manage last-minute changes and ensure seamless, real-time travel adjustments
Prepare and reconcile executive expense reports
Coordinate executive, leadership, and Board of Directors meetings
Prepare agendas, briefing materials, and executive-level presentations
May take meeting notes, track key action items, and ensure timely follow-up
Support logistics for on-site meetings, including catering, room setup, and guest coordination
Support strategic initiatives by tracking deliverables, deadlines, and cross-functional coordination
Prepare reports, presentations, and briefing documents for internal and external engagements
Conduct research and compile data to support executive decision-making
Assist with confidential and high-impact projects across departments
Interface with senior leaders, external partners, investors, and board members with professionalism and discretion
Draft and edit executive communications, presentations, and correspondence
Maintain strict confidentiality with sensitive business and personnel matters
Required Qualifications:
Salary Range: $110-130k
