    A well-established private equity firm is seeking a proactive Executive Assistant / Office Manager to provide high-level administrative and operational support to the senior leadership team while overseeing the day-to-day management of the firm’s New York office. This role combines executive-level support with ownership of office operations, making it ideal for a resourceful professional who thrives in a fast-paced, high-performance environment.

    The ideal candidate has 5+ years of experience supporting senior executives within private equity, investment management, or financial services, and is adept at balancing executive support, team coordination, and operational oversight with discretion and professionalism.

    Key Responsibilities

    Executive Support

    • Provide dedicated administrative support to senior partners and executives, including complex calendar management, travel coordination, and meeting logistics

    • Prepare and edit correspondence, presentations, and meeting materials with a high level of accuracy and polish

    • Manage priorities, track follow-ups, and ensure timely execution on key deliverables

    • Coordinate investor and portfolio company meetings, conferences, and events, both domestic and international

    • Handle confidential information with sound judgment and discretion

    Office Management

    • Oversee daily office operations, including facilities, vendors, and supplies to ensure a professional and efficient work environment

    • Serve as primary point of contact for the firm’s external vendors and building management

    • Support onboarding and offboarding processes for employees and contractors

    • Manage expense reports, invoice processing, and budget tracking related to office operations

    • Coordinate internal events, team meetings, and firmwide communications

    • Identify and implement process improvements to enhance efficiency and organization across the office

    Qualifications

    • Minimum 5 years of experience in an Executive Assistant or Office Management role within private equity, investment management, or financial services

    • Exceptional organizational and multitasking skills; able to anticipate needs and manage shifting priorities

    • Strong written and verbal communication abilities, with a professional and polished presence

    • High level of integrity, discretion, and confidentiality in handling sensitive matters

    • Proficient in Microsoft Office Suite; experience with expense and travel management systems preferred

    • Hands-on, proactive, and resourceful with a “no task too small” mentality

    • Ability to work both independently and collaboratively in a small, fast-paced office environment

    Compensation & Benefits

    • Base salary: $120,000 – $160,000 (commensurate with experience)
