    Position Summary

    The Executive Assistant to the CEO will provide high-level, full life cycle support to our enterprise leader, ensuring smooth day-to-day operations and acting as a key player in driving organizational efficiency. This role is ideal for a proactive, organized, and adaptable individual who thrives in a fast-paced, high-growth environment and is ready to take on new challenges.

    Responsibilities

    Administrative Support:

    • Manage meeting coordination, appointments, events, complex travel arrangements and day to day calendar across all professional, volunteer, philanthropic, and social engagements for our engaged and active Chief Executive Officer.
    • Prepare, review, and distribute reports, presentations, and documents on behalf of the CEO/executive team.
    • Handle confidential information with discretion and professionalism.

    Project Coordination:

    • Assist in the management and coordination of strategic initiatives and special projects.
    • Track deadlines, milestones, and deliverables to ensure projects are on schedule, providing updates to CEO/C-Suite as needed or requested.
    • Liaise with internal teams and external partners to facilitate project progress and provide updates.

    Communication & Liaison:

    • Serve as the primary point of contact between CEO and employees and external stakeholders.
    • Draft and edit communications, reports, and presentations for internal and external distribution.
    • Facilitate efficient communication and ensure timely responses to inquiries, requests, and RSVPs.

    Event and Meeting Planning:

    • Organize and coordinate event logistics and details for executive meetings and conferences.
    • Prepare agendas, take meeting notes, and distribute action items as required, monitoring on-time deliverables.
    • Ensure all planning, materials, and resources are in place for smooth and effective event execution, acting as main POC and owner across all logistics.

    Operational Support:

    • Collaborate across departments to support company initiatives and operational needs at the leadership team level.
    • Develop and streamline administrative processes to increase efficiency, sharing that expertise across the administrative/project management team.
    • Anticipate needs, identify opportunities for improvement, and provide proactive solutions.

    Qualifications

    • Experience :
      • Minimum of 6–8 years as an executive assistant, preferably in a fast-paced or high-growth environment.
    • Skills : * Exceptional organizational and time-management skills. * Fluency in English and Spanish, with the ability to provide written and verbal support in both languages * Excellent problem-solving skills and attention to detail, with the ability to proactively identify risk and opportunity. * Bar-raising verbal and written communication and interpersonal skills. * Customer-focused with a commitment to delivering high-quality service, displaying a backbone as needed. * Strong organizational skills with the ability to handle multiple tasks in a fast-paced environment. * A collaborative team player with a proactive approach to problem-solving. * Food and Beverage company experience is a plus.
